About the Role:

The Referrals Coordinator plays a critical role in managing and streamlining the referral process within an organization to ensure timely and accurate communication between clients, providers, and internal teams. This position is responsible for coordinating referral requests, tracking their progress, and maintaining detailed records to support efficient service delivery. The coordinator acts as a liaison to facilitate collaboration among healthcare professionals, insurance companies, and external partners, ensuring compliance with organizational policies and regulatory requirements. By effectively managing referrals, the coordinator helps improve client satisfaction and operational efficiency. Ultimately, this role contributes to the seamless flow of information and services that support positive outcomes for all stakeholders involved.

Minimum Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred.
  • Experience in a healthcare, insurance, or customer service environment involving referral coordination or case management.
  • Proficiency with electronic health record (EHR) systems or similar database management software.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills.

Preferred Qualifications:

  • Bachelor’s degree in healthcare administration, business, or a related field.
  • Familiarity with healthcare insurance processes and terminology.
  • Experience working with HIPAA regulations and maintaining patient confidentiality.
  • Knowledge of medical terminology and healthcare provider networks.
  • Certification in medical office administration or referral coordination.

Responsibilities:

  • Manage and process incoming referral requests promptly and accurately.
  • Communicate with clients, healthcare providers, and insurance representatives to verify referral details and eligibility.
  • Maintain comprehensive and up-to-date records of all referrals using electronic health record (EHR) systems or other database tools.
  • Coordinate with internal departments to ensure referrals are completed within established timelines and follow-up as necessary.
  • Generate reports on referral activity and identify opportunities for process improvements.
  • Ensure compliance with organizational policies, privacy regulations, and industry standards related to referrals.
  • Provide excellent customer service by addressing inquiries and resolving issues related to referrals.
