SUMMARY
Administrative Assistant / Timekeeping & Payroll Administrator
The Administrative Assistant / Timekeeping & Payroll Administrator is responsible for managing timekeeping and payroll-related functions for two branch locations. This role ensures accurate entry, maintenance, tracking, and timely submission of employee work hours while maintaining complete and accurate payroll records. In addition to payroll responsibilities, the Administrative Assistant supports the day-to-day operations of the company by performing a variety of clerical, administrative, and office support duties. The successful candidate helps maintain an organized, efficient, and professional work environment while providing administrative support to management and staff.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Track employee hours, process timekeeping records, and prepare and distribute weekly payroll.
- Create, submit, and monitor customer invoices while tracking payment status and outstanding balances.
- Answer, screen, and route incoming telephone calls to appropriate personnel.
- Greet, welcome, and direct visitors, clients, and vendors in a professional manner.
- Maintain and organize filing systems, records, and administrative documentation.
- Retrieve and compile information from records, emails, meeting minutes, and other business documents as requested.
- Respond to and resolve routine administrative inquiries in a timely manner.
- Manage office supply inventory and coordinate maintenance and repair of office equipment.
- Perform weekly cleaning and upkeep of common office areas and restrooms, including trash removal.
- Utilize payroll and administrative software to accurately complete weekly timekeeping and payroll processes.
- Perform other related duties as assigned.
KNOWLEDGE, SKILLS, ABILITIES & ATTRIBUTES
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite or related software.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management.
- Ability to maintain accurate records even under tight deadlines.
EDUCATION AND EXPERIENCE
- Highschool Diploma or Equivalent
- 1-2 years in an office environment performing clerical functions preferred.
WORKING CONDITIONS / PHYSICAL REQUIREMENTS
- Work is conducted indoors in an office environment
- Some light cleaning of common areas and bathrooms required.
- Must be able to sit for prolonged periods of time at a desk; must be able to view computer screen for prolonged periods of time; must be able to enter data using keyboard accurately and efficiently
- Must be able to communicate effectively via phone or email with personnel at remote job sites
- Must be able to lift, carry, push, pull up to 15 pounds at times on an infrequent basis.
- May be required to climb stairs and ladders
