As an Account Manager, you will play a key role in supporting client scheduling operations and ensuring a smooth, high-quality service experience for benefit counseling programs. Working in a fast-paced, remote environment, you will coordinate appointments, manage communications, and provide administrative support to both clients and benefit counselors. This role requires strong organizational skills, attention to detail, and the ability to balance multiple priorities while maintaining a high level of customer service. You will act as a central point of coordination, helping ensure accurate scheduling, timely follow-ups, and efficient daily operations. - Schedule, confirm, and manage appointments for benefit counselors while ensuring alignment with client needs and operational capacity.
- Coordinate daily scheduling activities to maximize efficiency and ensure smooth communication between clients and internal teams.
- Respond to incoming calls, emails, and inquiries in a timely and professional manner while delivering high-quality customer support.
- Assist clients with scheduling questions, appointment logistics, and general benefit enrollment information.
- Collaborate closely with benefit counselors to ensure accurate scheduling, communication, and workflow coordination.
- Maintain accurate and up-to-date client records, appointment details, and administrative documentation.
- Manage appointment changes, including rescheduling and cancellations, while ensuring proper communication to all stakeholders.
- Conduct follow-ups with clients for appointment reminders, updates, and employee notifications.
- Support administrative tasks such as data entry, reporting, and documentation preparation.
- Maintain strict confidentiality of client and employee information in accordance with company policies and regulatory requirements.
- Assist with special projects and additional administrative duties as assigned to support team operations.
- High school diploma or GED required; additional education or relevant certifications are a plus.
- Active license required for the role.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills with a strong customer service orientation.
- High attention to detail and accuracy in scheduling, documentation, and data entry.
- Proficiency in Microsoft Office Suite and familiarity with systems such as AMS360 and ImageRight is preferred.
- Experience with Vertafore products is a plus.
- Ability to work independently while contributing effectively to a team-based environment.
- Strong problem-solving skills and the ability to adapt quickly to changing priorities.
