About the role
Location: New York City (This is an In-office position - 5 days per week. Hours are standard business hours, but some days may require flexing earlier or staying later!)
Compensation: $109,000-$128,000 annualized salary + benefits (This range is reflective of level of contribution. Candidates who fully match what we’re looking for in this role will be at the top of the range.)
About the Role
This is a single-threaded seat meaning there is no backup or redundant coverage, so judgment calls happen in real time without the chance to build consensus first. This role is the operational anchor of our NYC headquarters, responsible for driving flawless execution across office operations, logistics, onboarding, vendor management, and select GTM / IT administrative support. This role is deeply execution‑oriented and requires someone who thrives on structured guidance, fast feedback incorporation, and disciplined follow‑through. Operating within a small, (2-person) high‑accountability team, this role partners closely with senior leadership to ensure the office runs smoothly and initiatives land without last‑minute risk. This role is not a fit for someone whose instinct is to convene stakeholders or build alignment before acting — by the time consensus forms, the moment has usually passed.
What You’ll Do
- Build and execute the process to keep the NYC office running smoothly day‑to‑day, ensuring the space is organized, functional, and ready for employees and visitors.
- Coordinate building partners, vendors, and service providers to maintain a consistent, reliable office environment.
- Develop SOPs that deliver seamless onsite experiences through meeting room readiness, visitor management, and event logistics.
- Ensure exceptional Day 1 setups by preparing workspaces, equipment, and hardware in coordination with the remote IT team.
- Create and implement scalable processes for onboarding, offboarding, basic IT support, maintaining inventory, etc.
- Support key leaders with structured administrative help across calendars, travel, expenses, and meeting coordination.
- Operationalize the office by setting up policies, procedures and communications around essential office etiquette, information and updates clearly and proactively.
Who You Are
- Strong operator with proven experience in office management, administrative operations, or similar execution-heavy roles. Creates scalable processes and documentation (SOPs, checklists, playbooks)
- Demonstrated ability to prioritize critical-path work, manage multiple streams simultaneously, and push work to “done.” Deadline-driven with sacred respect for timelines. You move with a sense of purpose and urgency when things need to get done.
- Comfort operating with incomplete information while still moving forward decisively and independently. Takes direct guidance and incorporates feedback quickly as business needs evolve and you value proactively
- You've worked in an environment without a deep bench of support: IT help desks, facilities teams, or admin layers you could lean on, and you're used to being the last/only line, not one of several.
- Experience coordinating onsite IT needs (not technical engineering) — hardware inventory, shipping, receiving, equipment logistics.
- Ability to manage complex scheduling, meeting logistics, and administrative support for GTM leadership with structure and accuracy (when requested).
- High accountability mindset: proactive, structured, reliable, organized, and unafraid to enforce standards. Takes ownership and proactively taps into resources such as manager and applicable subject owners/experts to help move projects along.
- Calm under pressure, deadline-driven, and comfortable in a small team with a direct reporting structure. Service ethos is table stakes; this team thrives in seeing the results of operational excellence vs. credit or visibility. We are low ego – high impact.
A note on fit: this role is not a match for someone whose instinct is to convene stakeholders or build alignment before acting... by the time consensus forms, the moment has usually passed.
Success Looks Like
- The office feels smooth, welcoming, and well-run; people don’t have to think about logistics, they just work.
- When something breaks (a vendor no-shows, a tool gets pulled, a system goes down) you fix what's in front of you first and explain after, rather than waiting to confirm who's at fault or who should be looped in.
- New hires have a great first experience: their equipment is ready, access works, and they feel supported from day one.
- Local IT issues get handled quickly or routed effectively to the right partner; equipment is tracked and managed with minimal surprises.
- Teams see you as a reliable, calm point of contact who gets things done and makes the office better over time.
