Position Description

Goodfellow Bros. (GBI) is a large heavy-civil contractor with operations throughout the West Coast & Hawaii. GBI has always maintained that our employees are our greatest asset, and we are now seeking to add to our team. We are looking for an Administrative Assistant to join our team in Kapolei, Oahu, HI.

Position Summary

This position provides administrative support to the Oahu region, helping ensure efficient day-to-day office and project operations. Responsibilities include reception and general office support, mail distribution, ordering supplies, coordinating meetings and events, preparing correspondence, and organizing project documentation. The role also manages PPE inventory, supports safety orientations, maintains and uploads safety training and incident documentation, and provides additional administrative support to project teams and regional staff as needed.

Position Description

Certified Payroll & Timekeeping – 50%

  1. Review, edit, and approve employee timecards to ensure accuracy and completeness.
  2. Prepare, audit, and submit Certified Payroll reports in accordance with applicable project, contractual, and regulatory requirements.
  3. Verify employee classifications, wage rates, hours worked, and other payroll information for accuracy.
  4. Research and resolve payroll inquiries, errors, and discrepancies in coordination with employees, supervisors, Payroll, and other appropriate personnel.
  5. Ensure payroll information is accurate, complete, and submitted in accordance with established weekly deadlines.
  6. Maintain and update payroll-related Excel reports, including employee rate sheets, employee lists, and tracking documents.
  7. Maintain confidentiality of employee compensation, payroll, and personnel information.

Office & Administrative Support – 50%

  1. Answer and route incoming calls to the appropriate personnel.
  2. Receive, sort, date-stamp, and distribute incoming mail and correspondence.
  3. Prepare professional correspondence, including emails, letters, and other documents, as requested.
  4. Maintain organized electronic and physical filing systems, including project plans and specifications.
  5. Order office supplies and maintain appropriate inventory levels.
  6. Provide administrative support to Project Management, Safety, Shop, and other operational teams as needed.
  7. Run work-related errands and assist with general office needs.
  8. Assist with planning and coordinating safety meetings, regional meetings, trainings, and company events.
  9. Coordinate venue arrangements, seating, payments, and other event logistics.
  10. Coordinate and set up supplies, meals, refreshments, and technology as needed.
  11. Travel to project sites throughout the island, as assigned, to support project operations and safety needs.
  12. Operate a company vehicle for work-related errands and job site support.
  13. Provide administrative support to project management teams, including assistance with obtaining, tracking, and maintaining required project permits.
  14. Provide Notary Public services when applicable; current Notary Public commission preferred but not required.
  15. Perform additional duties and responsibilities as assigned.

Position Requirements

Required Education, Experience, and Technical Knowledge

  1. Candidates must have the legal right to work in the US without employer sponsorship.
  2. 2+ years of previous administrative experience is preferred.
  3. Valid driver’s license, and clean driver’s abstract is required.
  4. High School Graduate or GED.
  5. Must have experience with MS Outlook, Excel and Word.
