Job Summary
The ideal Receptionist/Administrative Assistant serves as the first point of contact for employees, applicants, customers, and visitors. This role owns the front desk experience and ensures a professional, welcoming, and organized environment. This candidate can also be known as the “director of first impressions” possessing all Premier Marine’s core values: Integrity, Excellence, Attitude, and Collaboration.
In addition to reception responsibilities, this position provides administrative support to the Sr. Director of People & Culture and the Leadership Team. This is an entry-level opportunity designed for someone with dependable, polished, and eager to grow with the Premier Marine team.
Duties/Responsibilities
Primary Responsibility: Front Desk & Reception
• Greet all visitors and employees in a professional and welcoming manner.
• Manage incoming calls and route appropriately
• Monitor and manage visitor sign-in procedures
• Coordinate candidate arrivals and interview logistics
• Maintain a clean, organized, and professional front office area
• Receive and distribute mail and deliveries
• Serve as first point of contact for general company inquires
Administrative & HR Support Responsibilities
• Maintain and order office supplies
• Prepare meeting materials and take notes as needed
• Draft basic employee communications and announcements
• Maintain organized and confidential employee files
• Support onboarding paperwork and new hire scheduling
• Help coordinate employee events and engagement activities
• Assist with internal communications and postings
• Assist with reporting and basic data entry
• Identify opportunities to improve administrative organization
Requirements:Required Skills/Abilities
· Professional communication and phone etiquette
· Strong organizational skills and attention to detail
· Ability to handle confidential information appropriately
· Proficiency in Microsoft Office (Outlook, Word, Excel)
· Ability to be flexible and work in a rapidly changing environment is required

Education and Experience:
· High school diploma or equivalent
· 0-2 years minimum experience in receptionist, customer service, or office support

Physical Requirements
· Prolonged periods of sitting at a desk and working on a computer
· Frequent standing and walking to greet visitors and support plant/office needs
· Ability to occasionally lift and move items up to 20 pounds (files, office supplies, packages)
· Manual dexterity to operate standard office equipment (computer, phone, copier, scanner)
· Clear verbal communication ability for phone and in-person interactions
· Visual ability to review documents and work on a computer screen for extended periods
· Ability to move between office and production floor environments
