Position Summary

The Front Desk Coordinator is responsible for providing exceptional customer service while supporting daily front office operations, patient scheduling, insurance verification, referral management, and medical billing processes. This position serves as the first point of contact for patients and ensures accurate patient registration, efficient referral coordination, and timely insurance and billing follow-up.

Essential Duties and Responsibilities

Front Desk Operations

  • Greet and check in patients in a professional and courteous manner.
  • Answer incoming phone calls and route messages appropriately.
  • Schedule, reschedule, and confirm patient appointments.
  • Maintain patient records and obtain updated demographic and insurance information.
  • Collect co-pays, deductibles, and outstanding patient balances.
  • Ensure accuracy of patient registration and electronic medical records (EMR).

Referrals Coordination

  • Verify referral requirements and eligibility prior to patient appointments.
  • Communicate with physician offices, patients, and insurance companies regarding referral status.
  • Track referral expirations and ensure all required documentation is received before services are rendered.
  • Maintain referral logs and documentation in accordance with company policies.

Billing Responsibilities

  • Verify insurance eligibility and benefits.
  • Review insurance information for accuracy and resolve discrepancies.
  • Assist with charge entry, claim submissions, and payment posting as needed.
  • Follow up on denied or rejected claims and communicate findings to appropriate staff members.
  • Process patient payments and maintain accurate financial records.
  • Assist patients with billing inquiries and establish payment arrangements when appropriate.

Administrative Support

  • Maintain confidentiality in accordance with HIPAA regulations.
  • Prepare and organize office correspondence, reports, and patient documentation.
  • Assist with scanning, filing, and records management.
  • Support clinical and administrative staff with other duties as assigned.
Requirements:

Qualifications Education

  • High school diploma or GED required.
  • Associate degree in healthcare administration, business, or related field preferred.

Experience

  • Minimum of 2 years of front desk experience in a medical office, ambulatory surgery center, or healthcare setting preferred.
  • Experience with insurance verification, patient referrals, prior authorizations, and medical billing required.
  • Knowledge of commercial insurance, Medicare, Medicaid, and workers' compensation billing preferred.
  • Experience using EMR/EHR and practice management systems.
