Job Summary:
As the first friendly face the patients will see, you'll create a welcoming experience while keeping our busy medical office running smoothly. From greeting patients and managing appointments to supporting providers and maintaining accurate records, you'll play an essential role in delivering exceptional patient care.
Reports to:
- Front Office Team Lead and Practice Administrator.
Essential Duties/Responsibilities:
- Greet and assist patients and visitors in person and by phone, directing inquiries as needed.
- Check patients in, verify demographics, and collect insurance and identification information.
- Manage provider schedules and process appointment requests.
- Maintain accurate patient records by retrieving, scanning, and updating documentation in the EMR.
- Monitor patient flow and communicate delays to providers to support timely service.
- Assist patients with insurance, billing questions, and special needs when necessary.
- Perform general administrative duties, including data entry, correspondence, and document processing.
- Handle incoming and outgoing mail and shipping through USPS, UPS, and FedEx.
- Maintain a clean and organized reception area.
- Support office emergency procedures and coordinate assistance when needed.
- Schedule appointments to maximize patient satisfaction and efficient use of provider time.
- Perform additional front office and administrative duties as assigned.
Required Knowledge/Skills/Abilities:
Required Knowledge, Skills, and Abilities
- Knowledge of office procedures, customer service principles, and medical terminology.
- Proficiency with computer systems, file management, and electronic medical records (Epic EMR experience preferred).
- Understanding of patient accounts and confidentiality requirements.
- Strong written, verbal, and telephone communication skills.
- Ability to work collaboratively in a team environment while maintaining professionalism.
- Excellent listening, problem-solving, and critical-thinking skills.
- Strong organizational skills with attention to detail and the ability to prioritize tasks.
- Ability to build positive relationships with patients, staff, and the public.
- Demonstrated initiative, sound judgment, and a commitment to providing exceptional patient service.
- Reliable attendance and adherence to organizational policies and procedures.
Education and Experience:
- High school diploma or GED required; Associates degree or higher preferred.
- 2-3 years of previous administrative and clerical medical office experience.
- Experience using Epic is preferred
Physical Requirements:
- Prolonged periods of sitting or standing at a desk and working on a computer in a stationary position. Must be able to remain in a stationary position for a prolonged period of time.
- Constantly operates a computer and other office machinery, such as a calculator, copy machine, computer printer.
- Must be able to lift up to 25 pounds at times and transport up to 25 pounds at a time short distances.
