The Opportunity

TSPi is seeking a Staff Assistant III to support professional and scientific work for the National Institutes of Health (NIH). The successful candidate will provide experienced administrative and operational support to NIH teams and leadership. This individual will independently coordinate administrative processes, support meetings and project activities, prepare and maintain documentation, track actions and deliverables, and help ensure efficient day-to-day office operations.

The ideal candidate is an experienced administrative professional who can manage multiple priorities with limited supervision, anticipate administrative needs, resolve difficult or sometimes complex issues, and interact professionally with internal and external stakeholders.

Core Responsibilities

  • Provide comprehensive administrative and clerical support to NIH staff, teams, and leadership.
  • Coordinate calendars, meetings, appointments, and other scheduling activities and resolve scheduling conflicts as needed.
  • Prepare meeting materials, agendas, correspondence, presentations, reports, and other administrative documents.
  • Coordinate meeting logistics and capture and distribute meeting notes, action items, and follow-up materials as needed.
  • Track administrative activities, deadlines, action items, project documentation, and other assigned deliverables.
  • Maintain organized electronic and physical records, files, correspondence, and other office documentation.
  • Support the implementation and ongoing administration of office programs, processes, and requirements.
  • Coordinate administrative activities across teams and departments to support project and office objectives.
  • Assist with office projects, events, logistical activities, and other operational needs.
  • Research and compile information needed to support administrative activities and decision-making.
  • Communicate with internal and external stakeholders and respond to administrative inquiries or route requests to the appropriate individuals.
  • Independently identify and resolve administrative and operational issues, escalating matters when appropriate.
  • Develop and recommend improvements to administrative processes and procedures to improve office efficiency.
  • Provide guidance and support to less experienced administrative staff as needed.
  • Handle sensitive or confidential information with appropriate discretion.

Position Requirements & Preferences

Required Qualifications

  • High school diploma plus 1–5 years of relevant experience.
  • Demonstrated experience providing administrative, staff, or office support in a professional environment.
  • Experience supporting programs, projects, or activities for the National Institutes of Health (NIH).
  • Demonstrated ability to independently manage multiple administrative processes and competing priorities with limited supervision.
  • Experience coordinating calendars, meetings, correspondence, documentation, and administrative workflows.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to interact professionally with leaders, staff, clients, and external stakeholders.
  • Demonstrated ability to identify and resolve administrative or operational issues.
  • Proficiency with commonly used office productivity and collaboration tools.
  • Ability to handle sensitive and confidential information appropriately.

Preferred Qualifications

  • Experience providing administrative support within NIH, HHS, or another federal health or scientific organization.
  • Experience supporting scientific, research, health, or policy-focused teams.
  • Experience coordinating office projects, events, or operational activities.
  • Experience developing or improving administrative processes, procedures, or tracking systems.

Salary Range

$63,000 – $100,000
