Job Title: Material Coordinator

Department: Purchasing Organization

Reports To: Supply Chain Manager

Direct Reports: None

Effective Date: June 2026

Exempt/Non-exempt: Exempt

POSITION OVERVIEW

The Material Coordinator is responsible for managing the receipt, identification, storage, control, and movement of company and customer-owned materials throughout their lifecycle. This position ensures inventory accuracy, material traceability, and compliance with contractual, regulatory, and company requirements while supporting production schedules and operational objectives. The Material Coordinator works closely with Purchasing, Production, Quality Assurance, Program Management, and Warehouse personnel to ensure materials are available when needed and properly documented.

Essential Functions

Material Handling & Coordination

• Oversee the receipt, storage, issuance, and distribution of Government Furnished Material (GFM), Customer Furnished Material (CFM), tooling, equipment, and company-owned materials.

• Verify incoming shipments against purchase orders, packing lists, and traceability documentation.

• Coordinate movement of materials between receiving, warehouse, production, subcontractors, and project sites.

• Investigate and resolve discrepancies involving shortages, damaged shipments, and incorrect deliveries.

• Maintain accurate inventory transactions within the ERP system.

Government Traceability & Compliance

• Maintain complete material traceability throughout receipt, storage, issuance, transfer, and final disposition.

• Maintain Certificates of Conformance (CoC), Material Test Reports (MTR), serial numbers, heat numbers, and other required records.

• Ensure compliance with customer contracts, FAR/DFARS requirements, and company procedures.

• Support internal, customer, and Government Property audits.

• Partner with Quality Assurance to resolve material documentation issues.

Inventory Management

• Maintain inventory accuracy through cycle counts, reconciliations, and physical inventories.

• Ensure proper identification, labeling, storage, and preservation of materials.

• Monitor inventory levels and communicate shortages that may impact operations.

• Recommend improvements to warehouse organization and inventory processes.

Reporting & Systems

• Use ERP, inventory management systems, Microsoft Excel, and databases to manage inventory records.

• Generate reports regarding inventory status, material availability, receiving activity, and compliance.

• Analyze inventory data and recommend corrective actions.

Cross-Functional Collaboration

• Coordinate with Purchasing regarding supplier delivery issues.

• Support Production by ensuring material availability.

• Assist Accounting and Program Management with inventory documentation and status reporting.

• Support continuous improvement initiatives focused on inventory accuracy and operational efficiency.

QUALIFICATIONS

Required

• High school diploma or equivalent required; Associate degree in Supply Chain, Business, Logistics, or related field preferred.

• Three to five years of experience in material coordination, inventory management, logistics, or warehouse operations.

• Experience with ERP or inventory management systems.

• Strong organizational, analytical, communication, and problem-solving skills.

• Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.

Preferred

• Experience supporting DoD, federal government, shipbuilding, or defense contractors.

• Knowledge of Government Property Management, FAR, DFARS, GFM, and CFM requirements.

• Familiarity with ISO 9001, AS9100, or comparable quality management systems.

• APICS/ASCM CPIM, CSCP, or similar certification.

Knowledge, Skills & Abilities

• Strong attention to detail and commitment to data accuracy.

• Ability to interpret purchase orders, shipping documents, and technical records.

• Ability to prioritize multiple assignments and work effectively across departments.

• Ability to maintain confidential business and government information.

Physical Requirements & Working Conditions

• Ability to lift and move up to 50 pounds.

• Ability to work in office, warehouse, production, and outdoor environments as required.

• Use of personal protective equipment (PPE) in designated operational areas
