Job Description

Job Summary:
The Order Entry Manager leads BPP’s Order Entry department, which consolidates Sales Operations and Order Management into a single team accountable for the order lifecycle across the commercial-to-operations handoff. Reporting to the Director of PMO, the Order Entry Manager oversees a team of Order Managers responsible for enabling the front-end commercial process—CRM, pipeline, quote and RFQ support, and forecasting support—and for converting won opportunities into clean, executable orders through handoff validation, order entry and booking, work breakdown structure (WBS) development, the initial project build in the ERP, and initial customer contact on behalf of Operations. The role is the connective tissue between Commercial and Operations, ensuring every order enters the business complete, accurate, and ready for execution.
Key Responsibilities:
Department Leadership & Team Development:
  • Lead, coach, and develop the Order Manager team; set priorities, balance workload, and manage performance.
  • Own the department’s operating rhythm, staffing plan, and process adoption across the team.
  • Serve as the primary escalation point for order-entry and handoff issues.
  • Establish and maintain the standards, documentation, and training that define the department.
Order Entry & Booking:
  • Ensure timely, accurate entry and booking of customer orders in the ERP.
  • Own the order acknowledgment process and confirmation of commercial terms back to the customer.
  • Coordinate customer validation and creditworthiness checks with Accounting prior to release.
  • Maintain data integrity across order records in the ERP.
Handoff Governance & Order Validation:
  • Own the Commercial-to-Operations handoff gate and enforce the Minimum Information Requirements Checklist as the intake standard.
  • Validate each handoff package—PO against quote, customer specifications, drawings, and execution criteria—before an order advances.
  • Prevent incomplete or non-conforming orders from entering execution and drive resolution of gaps with Commercial.
Order Execution Setup:
  • Oversee development of the work breakdown structure (WBS) and the initial project build in the ERP, establishing the project structure and cost and schedule scaffolding for execution.
  • Ensure the department makes the first customer contact on behalf of Operations.
  • Coordinate a clean handoff to Project Management and Operations for execution.
Sales Operations & CRM Stewardship:
  • Own administration and health of the CRM, including pipeline hygiene and opportunity-stage discipline.
  • Oversee quote, RFQ, and CPQ support that enables the Commercial team.
  • Support forecasting and pipeline-weighted projections where applicable, and maintain reporting and dashboards in partnership with Data & Analytics.
  • Champion CRM adoption and process discipline across the commercial workflow.
Process, Systems & Continuous Improvement:
  • Standardize and document order-entry and handoff processes; define and monitor SLAs and KPIs.
  • Partner on ERP configuration and enhancements that improve order accuracy and cycle time.
  • Drive continuous improvement across the order lifecycle.
Cross-Functional Partnership:
  • Commercial / Sales — handoff quality, pipeline discipline, and quote and RFQ support.
  • Project Management & Operations — execution handoff, WBS readiness, and delivery alignment.
  • Accounting — customer validation and creditworthiness.
  • Engineering — standard product definition and specification clarity.
  • Data & Analytics — reporting, dashboards, and forecast support.
  • Sales, Inventory & Operations Planning (SI&OP) — demand signal and booking visibility.
Performance Measurement:
  • Order entry accuracy and booking cycle time.
  • Handoff package completeness and first-pass acceptance rate.
  • On-time order acknowledgment.
  • CRM data hygiene and pipeline accuracy.
  • Quality of forecasting and reporting support, where applicable.
Qualifications:
Required:
  • Bachelor’s degree in business, operations, or a related field, or equivalent experience.
  • 7+ years in order management, order entry/administration, or sales operations, including team leadership or supervisory experience.
  • Experience in an engineered-to-order (ETO) or custom manufacturing environment.
  • Proficiency with an ERP and/or CRM platform.
  • Working knowledge of quote-to-cash, ERP concepts, and work breakdown structures.
  • Strong cross-functional communication and stakeholder management.
Preferred:
  • Experience with Microsoft Dynamics 365 (D365).
  • Experience bridging commercial and operations functions.
  • Familiarity with CPQ tooling and pipeline forecasting.
