Argentina - Virtual Assistant

Whether you're on the phone with a patient, documenting a visit, verifying insurance, or supporting an administrator, your work helps our client practices run smoothly every day.

Position Summary

This is a broad, hybrid role that blends patient communication, scheduling, clinical documentation support, administrative assistance, and billing or insurance tasks. Virtual Assistants are cross-trained generalists: the specific mix of responsibilities will vary by client placement, but every Virtual Assistant should be comfortable moving between patient-facing communication, back-office administrative work, and detail-driven documentation. Your work ensures smooth operations and a dependable, welcoming experience for every patient and provider you support.

Key Responsibilities

Patient Communication & Call Management

  • Handle inbound and outbound calls, voicemails, emails, and social media inquiries with professionalism and empathy.
  • Resolve patient concerns and escalate complex issues as needed.
  • Collaborate with US-based healthcare practices to manage inquiries and scheduling.

Scheduling & Coordination

  • Schedule, confirm, and reschedule appointments using digital tools.
  • Monitor daily schedules to ensure smooth patient flow.
  • Coordinate with healthcare teams and practice staff to maintain timely operations.

Medical Documentation & Clinical Support

  • Provide real-time or near-real-time documentation support during patient encounters, when assigned to a scribe function.
  • Accurately transcribe patient history, exams, and physician-dictated notes into medical records.
  • Record diagnoses, treatments, test results, prescriptions, and orders with precision.
  • Maintain thorough, organized, and timely medical documentation.

Administrative & Executive Support

  • Provide administrative support to practice leadership, including scheduling and correspondence.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Assist with data entry and maintain organized documentation of patient and billing records.
  • Support ad hoc administrative tasks to ensure operational efficiency.

Billing, Insurance & Back Office Operations

  • Access payer web portals to retrieve and verify patients' current insurance details.
  • Cross-reference insurance cards and update patient accounts with current insurance information.
  • Review claims, prepare invoices, and process insurance claims to support accurate, timely reimbursement.
  • Provide chat-based support for billing and insurance inquiries with a friendly, clear approach.
  • Document all actions taken in both internal and client systems.

Sales & Lead Generation (as assigned)

  • Make outbound calls to generate new patient leads, when part of the placement.
  • Follow up on marketing inquiries and campaign leads.

Qualifications

Experience

  • 12 years in customer service, call center, front desk, medical scribing, administrative, or medical billing/insurance roles (healthcare preferred).
  • Sales or lead generation experience is a plus.

Skills

  • Strong verbal and written English communication.
  • Empathy, emotional intelligence, and a patient-focused mindset.
  • Proficiency in medical terminology is a plus for placements with clinical documentation.
  • High attention to detail and organizational skills.
  • Tech-savvy with CRM systems, EMR/EHR systems, Microsoft 365, and scheduling or billing software.
  • Ability to multitask and manage competing priorities across responsibilities.
  • Discretion and confidentiality when handling sensitive patient information.

Education

  • High school diploma or equivalent (additional training in customer service, healthcare, administration, or billing is a plus).
