This role supports the accurate and efficient setup and management of clinical trial payment processes, ensuring study sites receive timely and compliant financial support. The position requires close collaboration with internal teams, clients, and site stakeholders to manage payment configurations, review contractual documentation, and resolve operational challenges. You will play a key role in maintaining data accuracy, improving payment workflows, and supporting successful clinical research delivery. The Site Payment Specialist will provide operational support for payment system configuration and ensure that clinical trial payment requirements are accurately translated into system setups. The role involves reviewing financial documentation, coordinating with stakeholders, and maintaining high standards of compliance and accuracy throughout the payment lifecycle.
- Collaborate with Investigator Payments Leads and project stakeholders to understand and define payment requirements for each clinical study.
- Review and interpret clinical trial agreements, budgets, amendments, and related documents to extract payment details and configuration requirements.
- Configure payment information within payment systems, ensuring accurate setup of sites, payment line items, limits, caps, and supporting requirements.
- Identify whether payment activities should be managed through automated data-driven processes or manual configurations.
- Escalate unclear payment information and collaborate with relevant teams to obtain timely clarification.
- Follow up with study sites regarding missing, incomplete, or incorrect payment documentation.
- Create, validate, and upload budget configuration templates within required timelines.
- Partner with internal teams to track outstanding documentation, issues, and resolutions.
- Maintain accurate records of payment-related activities and support continuous process improvement.
- Participate in study team meetings and provide updates on payment setup progress when required.
The ideal candidate will have experience supporting financial, operational, or clinical research processes, with strong attention to detail and the ability to manage complex documentation. This role requires excellent communication skills, strong organizational abilities, and confidence working with global stakeholders.
- Bachelor’s degree or equivalent relevant professional experience.
- Minimum of 2 years of experience in a related field such as clinical operations, payments, contracts, finance, or project support.
- Business, technical, or life sciences-related education is preferred.
- Basic understanding of clinical trials and related processes.
- Ability to understand and work with legal, medical, and scientific terminology.
- Strong proficiency in Microsoft Excel and data management.
- Knowledge of budget and payment configuration processes.
- Experience with project coordination or project management is preferred.
- Strong written and verbal communication skills.
- High attention to detail and ability to manage contracts, budgets, and documentation accurately.
- Fluency in English and proficiency in additional languages is preferred.
