SUMMARY/OBJECTIVE

The Production Administrative Assistant supports the Metal Design Department with purchasing, inventory, material tracking, and day-to-day administrative and production activities. This role helps coordinate materials, maintain accurate records, and support the department’s overall workflow.

ESSENTIAL FUNCTION

  • Process purchase requisitions for materials and supplies requested by the Metal Design Department.
  • Create purchased part numbers and submit purchase order requests.
  • Place orders for project materials, supplies, tools, and other department needs.
  • Track purchase orders and shipments and provide status updates to management.
  • Maintain the Metal Design Purchased Material Log and other departmental tracking logs.
  • Enter and maintain purchased item information in D365, including inventory and non-inventory items.
  • Coordinate with vendors regarding materials, pricing, orders, and deliveries.
  • Set up new vendors in D365 as needed.
  • Receive materials and items from the Stock Room and other departments.
  • Update Casting, Prototype, and Bench Jeweler Tool Logs as materials are received.
  • Coordinate rush check requests when needed.
  • Handle shipping and receiving for items leaving or entering the department, ensuring items are properly packaged and protected.
  • Inspect incoming items and communicate any damage or quality concerns.
  • Conduct inventory counts and reconcile physical inventory with D365 records.
  • Maintain fabrication cage inventory, including tools, hardware, and supplies, and restock department consumables.
  • Process part number movements between CNF, FG, and component numbers.
  • Transfer materials and items between the Metal Design Department and other departments.
  • Prepare Plating Travelers for Redsky and coordinate related pickups.
  • Coordinate Vacuum Impregnation pickups and ensure items are properly prepared and packaged.
  • Process inventory adjustments between STK RM and DSN-MTL as directed.
  • Coordinate mold replacement requests, including sending requests, receiving and inspecting masters, routing molds for repair or cleaning, and maintaining mold records.
  • Maintain the Mold Request Log and coordinate physical mold swaps and scrap mold transfers.
  • Coordinate wax requests and receipt of wax for prototypes, first articles, designer samples, and other department needs.

QUALIFICATIONS

  • 6 months to 1 year of experience in an administrative, production, purchasing, inventory, or similar role.
  • Familiarity with Microsoft Excel and/or inventory or ERP systems
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks, maintain accurate records, and follow through on assignments.
  • Clear and professional communication with internal teams and vendors.
  • Previous experience in a manufacturing, production, or creative environment is a plus.

20 - 22 USD per hour(Hollywood, CA)
