Job Description

Description:

The Scheduling Coordinator is a key connection between our clients, caregivers, and office team and is responsible for coordinating caregiver schedules to ensure reliable, consistent client coverage.

This position requires someone who can successfully manage the constantly changing needs of private-duty home care while providing excellent customer service to both clients and caregivers.

Primary Responsibilities:

* Coordinate and maintain caregiver schedules based on client needs, caregiver availability, skills, and compatibility

* Match clients with appropriate caregivers

* Manage call-offs, open shifts, schedule changes, and last-minute coverage needs

* Communicate schedule changes promptly and professionally with clients and caregivers

* Coordinate staffing for new client starts and changes in existing client schedules

* Monitor schedules for overtime, coverage gaps, and staffing conflicts

* Maintain accurate and current scheduling information in the agency's scheduling system

* Build positive working relationships with caregivers while maintaining appropriate expectations and accountability

* Provide excellent customer service to clients and their families

* Support caregiver recruiting, onboarding, and staffing as needed

* Work closely with the administrative and operations team to maintain continuity of client services

* Perform other administrative duties as needed to support agency operations

Requirements:

* Minimum 1 year of scheduling and staffing experience in non-medical home care/private-duty care required

* Experience staffing caregivers for clients receiving services in their homes

* Excellent multitasking, organization, and time-management skills

* Ability to prioritize competing needs in a fast-paced, constantly changing environment

* Ability to remain calm and professional while handling call-offs, coverage issues, and unexpected schedule changes

* Strong problem-solving skills and ability to take initiative

* Excellent verbal and written communication skills

* Strong customer service and interpersonal skills

* Ability to communicate effectively with clients, families, caregivers, and office staff

* Strong computer skills and ability to learn scheduling and business software

* KanTime Private Duty experience preferred but not required

* Reliable transportation

* Valid driver's license and current automobile insurance

* Must successfully complete required fingerprinting and background screening, including criminal background, driving record, and applicable registry checks

**Please note:** Medical appointment scheduling, surgical scheduling, and other patient appointment scheduling do not meet the required home care staffing and scheduling experience for this position.
