Job Description
PIPECARE Group is seeking a highly organized and detail-oriented Administrative Assistant to join our Legal Department. The successful candidate will support daily administrative and compliance operations within the department and contribute to maintaining accurate and up-to-date legal and contract records.
This role requires a proactive, high-energy individual with strong organizational skills and the ability to communicate effectively in both written and verbal English.
Key Responsibilities- Conduct comprehensive due diligence and compliance checks of records and archives related to expired, ongoing, and outstanding Agency Agreements, Commercial Contracts, Subcontracts, Logistics Agreements, Insurance Policies, Real Estate Contracts, Supply Contracts, agreements with third-party accounting and legal firms, Powers of Attorney (PoAs), Non-Disclosure Agreements (NDAs), and licenses requiring renewal.
- Maintain and update contract tracking tables by entering all required information, monitoring contract validity, identifying expired or soon-to-expire agreements, and coordinating with responsible employees to obtain extensions and renewals in a timely manner.
- Manage and maintain shared contract repositories, including uploading new agreements and supporting documents, organizing records, transferring expired documents to designated folders, and ensuring accurate recordkeeping in accordance with the relevant contract tracking systems.
- Coordinate closely with internal stakeholders to ensure all required documentation is received, processed, and maintained on time, minimizing operational and compliance risks to the company.
- Perform due diligence checks on potential suppliers and logistics partners in accordance with the company's Due Diligence Checklist to assess their reliability and compliance status.
- Carry out any other administrative assignments and support activities as directed by the Legal Department and Management.
- Proficiency in English (written and spoken)
- Excellent typing skills (touch typing preferred)
- Higher education preferred
- Strong punctuality, accuracy, and attention to detail
- Proficiency in Microsoft Word, Excel, and ERP systems
- Ability to manage multiple tasks and work in a structured, deadline-driven environment

Physical and Mental Requirements:
- Lifting and Carrying: Ability to lift and carry up to 50 pounds.
- Mobility: Must be able to walk and climb to perform duties, including maneuvering within a refinery or plant environment and accessing elevated platforms via ladders and stairwells.
- Communication: Sufficient clarity of speech and hearing, or other communication capabilities, to communicate effectively.
- Focus and Multitasking: Ability to maintain focus and multitask effectively.
- Safety Equipment: Must be able to wear safety equipment as required by the safety department for personal protection, if/where needed in manufacturing environments.
- Personal Mobility and Reflexes: Sufficient personal mobility and physical reflexes, with or without reasonable accommodations, to perform office duties and travel to off-site locations when necessary.
