Job Description
The Sales Coordinator supports the sales team by managing the administrative and operational backbone of the sales process — processing orders and quotes, maintaining accurate CRM records, coordinating between customers and internal departments, and ensuring a smooth, professional experience for every customer interaction. This role is a critical link between Sales, Operations, and Customer Service, helping the sales organization run efficiently so account managers and outside sales representatives can focus on building customer relationships and closing business.
KEY RESPONSIBILITIES
• Process sales orders, quotes, and contracts accurately and in a timely manner, ensuring alignment with pricing, credit, and approval policies.
• Serve as the primary point of contact for customer inquiries related to order status, pricing, delivery timelines, and account questions.
• Maintain and update customer records, opportunities, and pipeline data in the CRM, ensuring data integrity for sales reporting and forecasting.
• Coordinate with Operations, Logistics, and Finance to confirm order fulfillment, resolve discrepancies, and track delivery schedules.
• Assist with onboarding new customer accounts, including setup documentation and internal handoffs.
• Track and follow up on outstanding quotes, contracts, and renewals to support pipeline velocity.
• Identify process improvement opportunities within the order-to-cash and quote-to-close workflows.
• Perform other administrative and project-based duties as assigned.
REQUIRED QUALIFICATIONS
• High school diploma or equivalent required; Associate's or Bachelor's degree in Business, Marketing, or a related field preferred.
• 2 to 4 years of experience in a sales support, sales operations, customer service, or administrative coordination role.
• Proficiency with CRM platforms (e.g., Salesforce, HubSpot) and Microsoft Office, particularly Excel and PowerPoint.
• Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
• Excellent written and verbal communication skills, with a customer-first mindset.
• High attention to detail and accuracy, particularly with order entry, pricing, and contract documentation.
• Ability to work cross-functionally with Sales, Operations, Finance, and Logistics teams.
PREFERRED QUALIFICATIONS
• Experience in industrial services, manufacturing, or B2B sales environments.
• Familiarity with ERP systems and order management workflows.
• Prior experience supporting a multi-location or multi-state sales team.
