SHIFT: 6:00 am to 3:00 pm Mon-Fri

Job Summary

The Purchasing & Inventory Control Assistant is responsible for supporting daily purchasing operations, inventory management, receiving, and subcontractor material coordination to ensure smooth warehouse and installation operations. This role requires strong organizational skills, attention to detail, communication with suppliers and subcontractors, and the ability to manage multiple priorities in a fast-paced flooring environment.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Purchasing & Procurement

  • Process stock and non-stock material orders with approved suppliers following company procedures
  • Manage subcontractor store orders and ensure timely purchasing of required materials
  • Follow up with suppliers on purchase orders, delivery schedules, pricing, and backorders
  • Review material costs for savings opportunities including crossover styles, bulk purchasing, and approved substitutions
  • Create stock purchase orders, print PO lines, add lines to existing POs, and update purchase orders as needed
  • Maintain approved stock and non-stock status lists per company procedures

Inventory Control

  • Perform regular cycle counts to maintain inventory accuracy
  • Monitor inventory levels and ensure proper stock replenishment
  • Utilize RFMS Inventory Module for ordering, stock adjustments, inventory review, and reporting
  • Verify roll/item inventory and maintain accurate stock records
  • Assist with product setup, product updates, and database maintenance as needed

Receiving & Material Handling

  • Ability to operate a forklift and move materials to designated bin locations or staging locations
  • Receive tile and other flooring materials accurately and efficiently
  • Review and confirm bills of lading and delivery documentation
  • Process receiving through RFMS, including express receiving and receiving/costing modules
  • Complete all receiving entries and ensure materials are properly tagged and entered into inventory
  • Coordinate subcontractor loadouts to ensure installers receive correct materials for scheduled jobs
  • Complete daily and weekly forklift checklists, reporting any issues to the supervisor

Order Entry & Scheduling Support

  • Enter, update, and maintain order lines within RFMS
  • Transfer materials between orders when necessary
  • Create roll cut tickets and print pick tickets
  • Assist with firm schedule date verification and schedule reporting through Schedule Pro

Productivity & Communication

  • Maintain backorder reports and update backorder tracking spreadsheets
  • Run purchasing, inventory, and receiving reports as needed
  • Communicate effectively with suppliers, warehouse staff, scheduling teams, and subcontractors
  • Support department workflow and assist with additional assigned duties
  • Maintain safety awareness and follow all company procedures and policies

SUPERVISORY RESPONSIBILITIES This position carries out supervisory responsibilities in accordance with company guidelines, policies and procedures, and applicable laws. Supervisory responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION, EXPERIENCE & QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Minimum of 2 years’ experience required in the flooring industry
  • High School Diploma
  • Previous purchasing, inventory control, warehouse, or flooring industry experience preferred
  • Experience with RFMS or similar ERP/inventory systems preferred
  • Strong attention to detail and organizational skills
  • Ability to prioritize tasks and manage deadlines effectively
  • Strong communication and problem-solving abilities
  • Proficiency in Microsoft Excel and other standard office software
  • Ability to work independently and as part of a team
