Lone Mountain Land Company (“LMLC”) is a subsidiary of CrossHarbor Capital Partners ($8.7B AUM) and is responsible for executing several long-term real estate development strategies in Southwest Montana. Big Sky has emerged as the most successful and rapidly growing resort development in the United States. CrossHarbor owns three private residential communities in Big Sky (Yellowstone Club, Spanish Peaks Mountain Club, and Moonlight Basin), several mixed-use buildings and a hotel in downtown Big Sky (“Town Center”) and created a separate investment fund dedicated to developing and acquiring workforce housing. LMLC manages all investments, development, and operations in Southwest Montana on behalf of CrossHarbor. Over time, LMLC may also undertake development projects in other areas of the United States or abroad.

Job Summary

The Payroll Specialist is responsible for the accurate and timely processing of company payroll for multiple locations, including entering and maintaining payroll data, reviewing and validating timesheets, and administering the electronic timekeeping system. This role ensures payroll transactions comply with federal, state, and local wage, hour, and tax regulations; serves as a resource to associates on payroll and tax matters; and maintains complete confidentiality of sensitive payroll information. This is a team-oriented role: the Payroll Specialist works closely with fellow payroll team members to cover shared deadlines and support one another, while also independently owning and managing individual accounts, locations, and tasks.

Essential Duties and Responsibilities
  • Performs daily payroll department operations.
  • Works as part of a collaborative payroll team, partnering closely with teammates to cover shared deadlines and cross-train on processes, while also independently managing individually assigned locations and tasks.
  • Partners closely with the Human Resources and Accounting departments to ensure accurate new hire, status change, and termination data, and to reconcile payroll transactions with the general ledger.
  • Enters, maintains, and/or processes information for payroll processing while meeting tight deadlines and ensuring fast turnaround.
  • Ensures proper processing of payroll by reviewing registers and reports to confirm timely and accurate processing of transactions, including hours, salaries, benefits, garnishments, taxes, and other deductions.
  • Reviews and ensures accuracy of weekly and bi-weekly timesheets.
  • Administers the electronic timekeeping system.
  • Maintains and manages distribution of live checks, as well as direct deposit and paycard funding.
  • Manages uncashed paychecks, including compliance with unclaimed property laws.
  • Understands and explains proper taxation of earnings and employer-paid benefits.
  • Understands and explains Form W-2 entries as needed.
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Develops and maintains payroll expertise regarding payroll laws and regulations to ensure compliance.
  • Prepares payroll reports from the payroll system as requested.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Reviews, investigates, and corrects errors and inconsistencies in payroll processing, escalating complex or unusual pay situations to the Senior Payroll Specialist.
  • Demonstrates accountability, compliance, and adherence to company policies and procedures, and confidentiality.
  • Maintains complete confidentiality regarding company and associate personal information.
  • Maintains a professional demeanor, demonstrates a positive attitude, and communicates effectively with co-workers and associates.
  • Performs other duties as assigned.
Education and Experience
  • High school diploma or GED required; Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred, or equivalent combination of education and experience.
  • 0–2 years of experience in payroll, accounting, or HR administration.
  • Experience administering an electronic timekeeping system and working within a payroll processing platform (e.g., ADP, Workday, UKG/Kronos, Paycom, or similar) a plus.
Knowledge, Skills, and Abilities
  • Working knowledge of federal, state, and local payroll tax law and wage-and-hour regulations, including FLSA, garnishment calculations and compliance, and unclaimed property statutes.
  • Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system.
  • Familiarity with payroll processing programs preferred; familiarity with ADP a plus.
  • Proficiency in Microsoft Office, with heavy emphasis on Excel, for reporting and reconciliation.
  • Highly detail-oriented and organized, with strong analytical and problem-solving ability to identify and correct payroll errors and inconsistencies.
  • Demonstrated ability to maintain strict confidentiality of sensitive employee and company data.
  • Excellent written and oral communication skills, with the ability to clearly explain tax and payroll matters to associates at all levels; must be fluent in English, bilingual a plus.
  • Ability to meet a constant stream of deadlines, with strong organizational and time-management skills.
  • Proven ability to work both independently and collaboratively with different levels of employees.
  • Proactive, with excellent troubleshooting, problem resolution, and follow-through skills.
  • Must exhibit a high level of integrity and business ethics.
  • Requires a high level of adaptability and flexibility.
Work Environment
  • Primarily an office environment with regular use of a computer and payroll systems.
  • May require occasional extended hours to meet payroll processing deadlines, particularly during period-end, quarter-end, and year-end (W-2) processing.
  • Ability to work on site in Big Sky as needed.
  • Must provide proof of identification and eligibility to work in the United States of America.
