Job Description
Position Description: Job Title: Systems Specialist (Prism)
FLSA Status: Full-Time Employee/Exempt
Reports To: Systems Manager
Purpose
We are seeking a highly skilled Systems Specialist with at least three years of experience in a Professional Employer Organization (PEO) environment and expertise in PrismHR. This role is responsible for delivering exceptional technical solutions, consultation, training, and support to clients and internal teams.
The Systems Specialist will support our Operational and Implementation teams by ensuring high-quality system configuration and deployment of client-facing applications, including PrismHR, TimeClock Plus and Humanity Time.
Essential Functions
General Technical Support
• Support the Systems Team ticketing queue in SalesForce.
• Participate in all stages of the client project lifecycle for SMB clients, including planning, configuration, testing and deployment.
• Review system setups for accuracy and compliance with state and federal labor laws.
• Responsible for system upgrades, testing, and communication to organization.
• Complete new client configurations in PrismHR and timekeeping vendors, if applicable.
• Serves as the subject matter expert for all client facing HRMS solutions
• Attend internal project meetings and provide updates on progress and deliverables.
Time and Labor Management
• Assist in obtaining and preparing necessary documentation for Time and Labor setups.
• Configure PrismHR for Time and Labor integration and client account setups.
• Troubleshoot issues within the Time and Labor system including integration with PrismHR.
• Serve as a backup resource for internal teams with employee and manager inquiries and issue resolution.
Implementation Support
• Accurately and efficiently set up new clients in PrismHR using information provided by the Implementation Team.
• Perform quality control checks on client system setups.
• Test and troubleshoot system configurations and functionality.
• Assist in managing the electronic onboarding processes.
• Complete PTO certification documentation for client signatures.
• Configure PTO plans in PrismHR, import PTO balances and troubleshoot/reconcile issues, escalating complex cases to senior team members.
• Validate new system input, output, and connectivity. Identify, research, and assist in resolving any issues with technical resources.
Payroll Support
• Troubleshoot issues and errors encountered during payroll processing.
• Create and maintain payroll import files.
• Configure client general ledger (GL) requests and produce reports as needed.
Other Duties
• Foster strong relationships across all departments.
• Assist with client and employee inquiries related to onboarding, benefits, payroll, and other HR functions.
• Continuously enhance knowledge and skills in software applications and PEO industry practices.
• Maintain and update internal system checklists and documentation.
• Contribute to the development of client guides and training content.
Required Knowledge, Skills, and Experience
• 3+ year of PrismHR and TimeClock Plus experience required.
• 3+ year of Prior PEO experience required.
• Multi-state payroll experience required.
• Strong understanding of payroll, accounting, and HR processes.
• Excellent customer service skills with a proactive approach.
• Exceptional attention to detail.
• Strong problem-solving skills.
• Excellent verbal, written, and interpersonal communication skills.
• Ability to multitask, work under pressure and meet deadlines.
• Capability to translate complex technical information into meaningful insights for clients and internal teams.
• Strong time management, delegation and task organization skills.
• Advanced proficiency in Excel and spreadsheet manipulation.

Employee may experience long periods of continuous time focusing on a computer monitor, walking, standing, bending, and stooping occasionally. The position may require overtime during peak season. Working conditions are normal for a fast-paced office work environment
