In Flight Inc., is a nonprofit that provides support services within a home environment and the community for adults with Intellectual and Developmental Disabilities (IDD).

SCOPE OF WORK: Reporting directly to the Executive Director, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for the Executive Director and a liaison with the Board of Directors. They will need to have the ability to exercise good judgment in a variety of situations and possess strong written and verbal communication, administrative, and organizational skills with ability to prioritize. The Executive Assistant must be able to work with other company Directors at times to handle a wide variety of activities and must adhere to all matters with the highest degree of confidentiality and discretion. This position will also report to the CFO in the finance department and be responsible for other duties such as procurement and other clerical duties as needed.

The position is based in Red Hook. 30 Hour- hourly position Monday- Friday. The day starts at 8am. The pay is $30 an hour.

Responsibilities for CEO:

  • Provide comprehensive support services to the Executive Director that ensures outstanding communication and responsiveness that includes managing all scheduling for the Executive Director
  • Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance to ensure smooth day-to-day engagements
  • Support Executive Director with internal and external communications
  • Prepare and edit correspondence, presentations, reports, and memos
  • Support the Executive Director in strategic communications, organizational strategy, and all other special projects as assigned
  • Organize meetings and events for various board meetings, and other planning
  • Serve as a liaison to the Board of Directors
  • Maintain quality filing and communications systems including contact management, document management, and archiving
  • Other clerical duties as assigned

Responsibilities for CFO:

  • Perform all clerical duties as assigned such as filing, scanning, copying
  • Perform all purchasing duties including preparing, maintain, and review purchasing files, reports, and price lists
  • Track the status of requisitions and orders and c heck shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications
  • Compare prices and locate suppliers, using sources such as catalogs and the internet, to gather information about products to be ordered
  • Review purchase requests to verify accuracy, terminology, and specifications
  • Maintain knowledge of all organizational rules affecting purchases

QUALIFICATIONS:

  • Experience: 2 years’ related work experience
  • Familiarity with non-profit sector
  • Strong interpersonal skills with the ability to take initiative, multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize work
  • Excellent communication skills, both verbal and written
  • Demonstrated writing and analytical skills
  • Excellent organizational skills, commitment to accuracy and attention to detail
  • Ability to access a wide range of sources and networks for information
  • Good judgment and ability to function independently
  • Good working knowledge of all Microsoft Office applications
  • Ability to handle sensitive and confidential situations with diplomacy
  • Experienced in electronic communications
