Job Description
The Compliance Coordinator supports the organization’s compliance program in alignment with HRSA Health Center Program requirements, ensuring ongoing readiness for operational site visits (OSVs), audits, and regulatory reviews. This role is responsible for tracking compliance activities, managing incident and grievance processes, coordinating safety initiatives, and maintaining regulatory documentation across all clinic sites.The Compliance Coordinator plays a critical role in supporting adherence to HRSA, FTCA, Medi-Cal, HIPAA, and IPA requirements, while partnering with leadership to promote a culture of compliance, patient safety, and continuous quality improvement.
This position is full-time on-site with a schedule of Monday through Friday 8am to 5pm. The best candidate for this position:
- has experience with FQHC compliance such as HRSA, FTCA, and UDS and appropriate documentation
- knowledgeable of compliance training requirements and audits
- understanding of grievances in alignment with patient rights and risk management
- is a confident liaison between departments
- has strong organizational skills and can manage multiple priorities, deadlines, and reporting requirements in a fast-paced healthcare environment
- has experience developing safety protocols, audits, logs, drills, and documentation
What You'll Do:
Job Responsibilities & Duties
- HRSA & Regulatory Compliance
- Support compliance with HRSA Health Center Program requirements, including applicable program requirements and operational expectations
- Maintain a comprehensive compliance calendar for HRSA deliverables (e.g., UDS reporting, program requirements, annual submissions)
- Assist in preparing for HRSA Operational Site Visits (OSVs), including document collection, mock reviews, and corrective action tracking
- Monitor adherence to FTCA risk management requirements, including documentation and training support
- Compliance Training
- Track and ensure completion of mandatory compliance training for all non-LIP staff (e.g., HIPAA, OSHA, infection control, workplace safety, HRSA-related trainings)
- Maintain training logs and documentation in accordance with HRSA and audit standards
- Follow up on delinquent trainings and provide reporting to leadership
- Assist in coordinating training schedules and compliance education initiatives
- Grievance & Incident Management
- Oversee and track all patient grievances, complaints, and incident reports in alignment with HRSA patient rights and risk management expectations
- Ensure timely documentation, investigation, resolution, and reporting
- Maintain logs for risk management and QI review, including trending and analysis
- Safety Committee Coordination
- Coordinate and organize the Safety Committee, led by the COO/Compliance Officer, in alignment with FTCA risk management program expectations
- Schedule meetings, prepare agendas, and document minutes
- Track and follow up on safety-related action items and initiatives
- Support implementation of organization-wide risk reduction and patient safety strategies
- Coordinate quarterly organizational risk assessment activities, including data collection, risk identification, documentation, and follow-up on mitigation plans in alignment with HRSA and FTCA risk management requirements
- Develop, implement, and track annual training schedule for risk management plan in collaboration with committee recommendations based on grievance and incident trends
- Audit & Regulatory Readiness
- Partner with the Compliance Manager to prepare for and respond to HRSA, state, county, and IPA audits
- Assist with audit readiness, including documentation review, policy validation, and file audits
- Conduct internal audits and mock surveys aligned with HRSA compliance expectations
- Track and monitor corrective action plans to ensure timely resolution
- Compliance Binder & Documentation
- Maintain and routinely audit HRSA-aligned compliance binders at all clinic sites, ensuring readiness for OSVs and audits
- Ensure all required documentation is current, complete, and consistent across sites (policies, licenses, logs, training records, etc.)
- Standardize compliance documentation practices across the organization
- Perform other administrative and supportive activities as needed.

Requirements:What You'll Bring:
Minimum Qualifications
- Education: Bachelor’s degree in Healthcare Administration, Public Health, or related field
- Experience: 1–3 years of experience in FQHC, community health, or healthcare compliance
- Knowledge of HRSA Health Center Program requirements, FTCA, HIPAA, and Medi-Cal
- Strong organizational, documentation, and audit preparation skills
- Ability to commit to a full-time schedule of Monday through Friday 8am-5pm
Preferred Qualifications
- Experience supporting HRSA Operational Site Visits (OSVs)
- Experience with UDS reporting, risk management
- Bilingual (English/Spanish)
