Position Summary
The Assistant Service Manager serves as a critical leadership role within our Marine Service Division, supporting the day-to-day management of service operations and acting as a liaison between customers, service managers, technicians, project managers, vessel representatives, shipyards, and the parts department. This position helps ensure projects are properly planned, staffed, executed, and documented while maintaining the highest standards of customer service and operational efficiency.
Key Responsibilities
Coordinate daily service schedules, technician assignments, and field dispatch activities.
Assists Business Development Manager & Operations Manager with preparing estimates, proposals, customer communications & all day-to-day service activities / requirements.
Open and close service work orders and ensure all documentation is complete and accurate.
Monitor project status, labor hours, project extras (change orders) and resource requirements to identify delays and adjust project completion dates as required.
Coordinate with the Parts Department to ensure parts are available before job execution.
Assist with project Kickoff meetings with the Business Development Manager, Operations Manager & technicians prior to job execution to review the scope of work, confirm technical requirements and procedures are understood, and verify that all required tooling, parts, and resources are available to ensure efficient and successful project execution.
Maintain communication with customers regarding job status, scheduling, and project delays & updates.
Support warranty administration and ensure required documentation is submitted in a timely manner.
Ensure proper service reports, fluid sample reports, and final invoices are provided to customers at closing of each job.
Qualifications:
3–5 years of experience in a technical, mechanical, marine, or industrial service environment.
Strong organizational, leadership, and communication skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency with Microsoft Office (Excel, Word, and Outlook).
Experience with service management software is preferred.
