Position Overview
We are seeking a highly organized, proactive, and client-focused Account Coordinator to support a Senior Account Executive across strategic enterprise accounts. This role serves as the operational backbone of the Account Executive, partnering closely with Recruiting, Delivery, Operations, and client stakeholders to deliver a white-glove experience for both clients and consultants.
The Account Coordinator will act as the right hand to the Senior Account Executive, ensuring seamless communication, exceptional organization, and timely execution of critical account activities. This position is ideal for someone who enjoys building relationships, thrives in a fast-paced environment, and takes pride in delivering outstanding client service while managing multiple priorities.
Key Responsibilities
Client Account Support & Communication
- Support the Senior Account Executive in managing day-to-day activities across multiple enterprise accounts.
- Serve as the secondary point of contact for client communications, remaining included on client correspondence to provide seamless coverage and support.
- Attend client meetings, intake calls, and status meetings to document hiring requirements, prepare job descriptions, and communicate updates to Recruiting, Delivery, Operations, and Onboarding teams.
- Respond to client requests regarding consultant performance, onboarding, engagement, and other day-to-day account needs including offboarding of consultants.
Recruiting & Candidate Coordination
- Coordinate candidate interviews between clients, recruiters, and hiring leaders, including calendar management, meeting invitations, confirmations, and scheduling updates.
- Conduct interview preparation sessions with candidates and recruiters, while maintaining interview feedback repository to improve future interview readiness.
- Facilitate virtual interviews between candidates and client hiring teams when appropriate.
- Review resumes for functional and business-focused positions, partnering with Delivery for final candidate validation.
- Review recorded candidate interviews when appropriate.
- Prepare candidate submission packages, including resume formatting, candidate summaries, and supporting documentation.
- Submit qualified candidates through client vendor management systems for client consideration and/or onboarding.
- Maintain accurate candidate records within CRM and client systems, including interview outcomes, client feedback, hiring decisions, and disposition status.
- Communicate client clarifications, requirement changes, and hiring updates to Recruiting and Delivery teams.
- Maintain requisition tracking documentation, including new openings, hiring status, recruiting priorities, and role updates.
Consultant Onboarding, Offboarding & Engagement
- Coordinate consultant onboarding activities following offer acceptance.
- Partner with Recruiters, Hiring Managers, Operations, and Onboarding teams to gather required onboarding information and ensure all onboarding milestones are completed prior to consultant start dates.
- Complete onboarding activities within client vendor management systems, including Fieldglass.
- Coach hiring leaders on client onboarding processes and proactively communicate outstanding requirements that could impact consultant start dates (work order acceptances, etc).
- Compile consultant start details to send to hiring manager, including equipment preferences
- Monitor upcoming consultant starts, proactively identifying and resolving onboarding issues before start dates.
- Partner with Operations to support consultant requests and ongoing engagement throughout assignments.
- Support onsite branding, consultant engagement activities, client appreciation events, and other account presence initiatives.
- Assist with the offboarding discussions of consultants, properly timing events with managers and handling the process of equipment return.
- Monitor upcoming ends in BH and partner with Account Executive on next steps.
Account Operations & Administration
- Monitor interview schedules and communicate updates to clients, recruiters, candidates, and internal teams.
- Maintain accurate account documentation across CRM, vendor management systems, and internal tracking tools.
- Partner with Operations to maintain accurate requisition records and ensure system data remains current.
- Audit account data across systems to ensure consistency, accuracy, and data integrity.
- Monitor weekly consultant timesheet submissions and coordinate follow-up on outstanding approvals.
- Prepare consultant start documentation and coordinate first-day communications with consultants and internal support teams.
Compliance & Process Management
- Complete client-specific onboarding and compliance requirements prior to consultant start dates.
- Participate in client compliance reviews and audit activities.
- Partner with internal teams to continuously improve account processes, operational efficiency, and service delivery.
Sales & Account Growth Support
- Track consultant manager and organizational changes within client accounts to help identify new business opportunities.
- 1–3 years of experience in account coordination, recruiting coordination, client services, staffing, or a related field.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and commitment to delivering high-quality work.
- Excellent written and verbal communication skills.
- Strong customer service mindset with proven relationship-building abilities.
- Ability to work independently while collaborating effectively across multiple internal teams.
- Proficiency with Microsoft Office (Excel, Word, PowerPoint) and AI productivity tools such as ChatGPT.
- Experience with CRM and Vendor Management Systems (Bullhorn, Fieldglass, VNDLY, or similar platforms) preferred.
- Bachelor's degree preferred.
