Job Title: Operations Legal Specialist – Chatsworth
Overview:
- Under limited supervision, this experienced professional position assumes overall responsibility for the review, processing, and compliance of all legal related operational functions, along with managing associated workflows.
- Serves as subject matter expert, to include elevated knowledge of legal processing processes and procedures.
- Ensures all established operational policies and procedures align with corporate strategy.
- The Operations Legal Specialist works in collaboration with all lines of business with respect to Operational legal processes and procedures.
What You Will Do:
- Performs assigned department and related functions; to include Operations Services Help Desk and Backup support.
- Processes incoming legal requests through to completion; to include research, compiling and organizing documentation, notification requirements, and timely execution of action items; legal requests to include but are not limited to Levies, Subpoenas, Garnishments, Conservatorships, Power of Attorney, Commercial/Business Documents, Trusts, Guardianships, Decedent Accounts, and other court related documents and communications.
- Responds to all escalations and management inquiries, including those having a full breadth of complexity and requiring analytical interpretation regarding legal processes and procedures.
- Responsible for reviewing and responding to legal inquiries received from law enforcement and government agencies.
- Collaborates with management and legal counsel to address internal and external inquiries and issues formal communications therein.
- Contacts preparers of source documents to resolve questions, inconsistencies, or missing data including internal and external communication from attorneys, IRS agents/analysts, court clerks, and US District Attorneys concerning subpoenas, garnishments, and levies.
- Ensures accounts are documented and departmental records are appropriately maintained.
- Responsible for records retention, departmental logs/tracking, and reporting with the strictest accuracy and timeliness.
- Responsible for serving as subject matter expert and handling assigned processes related to Federal and State compliance activities (e.g. TIN Mismatch, W-8, RMD & FMV Notices, Escheat Notices and other Annual notices).
- Responsible for Federal and State withholding remittance (Bi-weekly, Quarterly and Annually).
- Assists with system testing for any system updates and releases that directly affect legal processes, Specialized Core Programming such as Spec files and Workflows.
- Identifies, recommends, and obtains approval to implement techniques and methods to improve current department and Operational procedures and efficiencies.
- Draft, review, and update, upon request, internal policies and procedure documents and the intranet to ensure that current practices and procedures are documented and followed.
- Work effectively and efficiently in a fast-paced, high volume, dynamic environment while managing sensitive and highly confidential information in a professional, productive, and organized way.
- Establishes and maintains effective communication and coordination with Credit Union staff.
- Responds to internal and external inquiries and maintenance requests pertaining to escalated legal inquiries (e.g. hotline calls, emails, service events).
- Maintains and fosters strong constructive relationships with business partners and other third parties to facilitate an effective legal process workflow. Partners up closely with member attorneys and provides information collected to management.
What We Are Looking For:
- Three (3) to five (5) years of similar or related experience.
- Minimum of two (2) year of practical experience in handling legal processes, communications, and correspondence.
- High school degree or equivalent required, college degree preferred.
- Thorough knowledge of Credit Union products, services, and policies.
- Excellent communication and public relations skills.
- Ability to work well under pressure.
- Must maintain a high degree of integrity and respect for confidentiality and privacy of information.
- Must be an effective communicator and adaptable to change.
- Personal computer and related software applications skills required, including Microsoft Word and Excel.
- Solid math skills and bookkeeping abilities.
Pay Grade Info:
The base pay range for this position is: $27-$34 / hour
