Position Summary
The Dispatcher is the communication hub of our service operation. This position is responsible for scheduling and dispatching technicians, managing incoming service requests, maintaining customer communication via phone, email and service portals, and ensuring service calls are completed efficiently and accurately. The ideal candidate is highly organized, detail-oriented, thrives in a fast-paced environment, and enjoys helping customers.
Key Responsibilities
Dispatch & Scheduling
· Schedule and dispatch service technicians based on skill set, location, and customer urgency.
· Monitor technician schedules throughout the day and adjust as necessary.
· Coordinate emergency service calls and after-hours requests.
· Ensure maximum technician productivity and route efficiency.
Customer Service
· Answer incoming customer calls professionally and courteously.
· Gather accurate information regarding service needs.
· Provide customers with arrival updates and service status information.
· Resolve customer concerns and escalate issues when necessary.
Work Order Management
· Create, update, and close work orders accurately.
· Ensure all service calls contain complete customer information and equipment details.
· Maintain accurate service records within company software.
Communication
· Act as the primary communication point between customers, technicians, managers, and vendors.
· Coordinate parts availability with the Parts Department.
· Communicate scheduling changes promptly to all affected parties.
· Support departmental managers with daily operational needs.
Administrative Duties
· Maintain customer databases and service records.
· Assist with invoicing support and documentation.
· Generate dispatch and productivity reports as requested.
· Support accounts receivable follow-up when necessary.
Requirements:Qualifications
· High School Diploma or equivalent required.
· Previous dispatching, scheduling, customer service, or service-industry experience preferred.
· Experience in HVAC, refrigeration, plumbing, electrical, or commercial service industries is a plus.
· Strong computer skills and proficiency with Microsoft Office.
· Experience with dispatching or field service software preferred.
· Excellent verbal and written communication skills.
· Ability to multitask and prioritize in a fast-paced environment.
