Job Description
Job Title: Receptionist / Front Desk Associate – Dog Boarding, Daycare & Grooming
Reports To: Facility Manager / Owner
Location: [Natural Breed Kennels], [Charlotte NC]
Position Type: Full-Time or Part-Time
Position Summary
The Receptionist serves as the first point of contact for clients, providing a welcoming, professional, and efficient experience. This role includes managing reservations, checking pets in and out, processing payments, and ensuring accurate communication between clients and staff. The ideal candidate loves animals, enjoys working with people, and thrives in a fast-paced environment.
Key Roles & Responsibilities
Client Service & Communication
Greet clients warmly and create a positive first impression.
Answer phones, emails, and in-person inquiries promptly and professionally.
Provide information about boarding, daycare, grooming, and training services.
Handle check-in/check-out for pets, ensuring accurate records and belongings are logged.
Update clients on their pets’ stay or grooming progress when needed.
Address customer concerns and escalate issues to management when necessary.
Scheduling & Reservations
Manage appointment bookings for boarding, daycare, and grooming.
Confirm reservations and send reminders when applicable.
Coordinate with kennel, grooming, and training staff to ensure smooth service flow.
Administrative Tasks
Maintain client and pet records in the facility’s management software.
Process payments, refunds, and gift card transactions.
Ensure required vaccination and health records are on file and up to date.
Prepare and organize daily check-in/check-out paperwork.
Facility Support
Keep the front desk and lobby clean, organized, and welcoming.
Stock and sell retail items (pet food, treats, toys, grooming products).
Assist with light animal handling (e.g., leash transfer at check-in) when needed.
Team Communication
Relay special care instructions, grooming requests, and client notes to appropriate staff.
Participate in pre-shift huddles and meetings to stay informed about daily priorities.
Qualifications
Previous customer service or receptionist experience preferred.
Strong verbal and written communication skills.
Proficiency with computers, scheduling systems, and point-of-sale transactions.
Friendly, professional, and able to remain calm under pressure.
Love for animals and willingness to learn basic pet handling skills.
Physical & Work Environment Requirements
Ability to stand or sit for extended periods.
Comfortable around dogs of all sizes and temperaments.
Work environment may include noise, hair, and occasional messes from animals.
