Business Operations Manager

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Business Operations Manager based in Brazil.

This is a hands-on, fully remote operations role supporting a fast-moving startup environment and a distributed team.
You’ll act as the connective tissue across business operations, people processes, projects, and team culture.
The role combines process ownership, documentation, coordination, administrative support, and day-to-day problem solving.
You’ll help keep projects moving by maintaining workflows, tracking deadlines, surfacing blockers, and ensuring operational details don’t fall through the cracks.
You’ll also contribute to recruitment, onboarding, training, team engagement, events, and customer support.
The ideal person is proactive, highly organized, comfortable with ambiguity, and confident working independently with US-based colleagues.
This is an initial six-month contractor opportunity with established processes and a structured handover, offering the potential for extension or renewal.

Accountabilities
  • Create, maintain, and organize company SOPs, process libraries, documentation, and operational resources to ensure information remains accessible and up to date.
  • Manage software subscriptions, licenses, renewals, vendor contracts, insurance documentation, compliance records, and other critical operational deadlines.
  • Coordinate project workflows and master trackers, follow up on deliverables and deadlines, identify blockers, and maintain strong Asana project hygiene.
  • Support internal communications by preparing meeting agendas, capturing notes, coordinating action items, and following up to ensure commitments are completed.
  • Manage end-to-end recruitment and onboarding processes, helping new team members transition smoothly into the organization.
  • Coordinate required team training, including assigning modules, tracking completion, and following up on outstanding requirements.
  • Support team culture through virtual team-building activities, celebrations, personnel acknowledgments, and company milestone initiatives.
  • Coordinate virtual and in-person events, including complex travel arrangements such as flights, accommodation, rental cars, and carpool logistics.
  • Provide high-touch customer and user support by resolving tickets, moderating app activity, identifying issues, and escalating matters appropriately.
  • Provide additional support for legal, financial, or other operational initiatives as business needs evolve.
  • Identify opportunities to improve workflows, automate repetitive tasks, and use AI tools to increase operational efficiency and productivity.
Requirements
  • 3–5+ years of experience in business operations, operations management, executive operations, or a similar role, preferably supporting US-based companies and early- to mid-stage startups.
  • Previous experience working with US-based teams and startup environments is required.
  • Fluent English with excellent written and verbal communication skills and the ability to communicate clearly with distributed colleagues and stakeholders.
  • Based in Central or South America, with availability aligned to standard US working hours.
  • Strong proficiency with Asana, Slack, Google Workspace, process-management tools, and modern remote collaboration platforms.
  • Practical experience using AI tools such as Claude, Gemini, or similar solutions to improve workflows, productivity, research, documentation, and task execution.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Highly proactive and reliable, with a strong sense of ownership and the ability to identify and resolve blockers without constant direction.
  • Comfortable operating in an evolving, fast-paced environment where priorities may change and processes require continuous improvement.
  • Strong collaborative mindset and the ability to work effectively as a central operational partner across different functions.
  • Experience in health, wellness, software, or technology environments is a strong advantage.
Benefits
  • Compensation: $3,200–$3,800 USD per month, depending on experience.
  • Contract: Full-time contractor engagement with an initial 6-month term and potential for extension or renewal.
  • Remote-first: Work fully remotely from Brazil or another eligible LATAM location.
  • Working hours: Monday to Friday, 9 AM–5 PM PST, providing strong alignment with US-based teams.
