JOB SUMMARY
The Patient Access Lead serves as a team lead and primary resource for front-line Patient Access staff, supporting the Patient Access Supervisor and Manager. This role combines advanced registration expertise with leadership responsibilities, including training support, scheduling coordination, audits, and real-time operational problem-solving across multiple access points. Time allocation is expected to be approximately 25% administrative responsibilities and 75% frontline duties, based on operational needs.
ESSENTIAL DUTIES/RESPONSIBILITIES MINIMUM QUALIFICATIONS
Team Leadership & Support
- Serve as Team Lead and assistant to the Patient Access Supervisor and Manager.
- Coordinate daily staffing across multiple registration desks to ensure coverage, breaks, and timely patient service.
- Assist with staff scheduling.
- Serve as a resource and backup for other admitting and registration departments.
- Provide real-time guidance, coaching, and support to staff.
- Bring process improvement ideas forward for the registrars.
- Assists with evaluating EMR workflows, upgrades, and readiness.
- Takes rotating weekend call to support staff with questions or concerns.
Registration & Customer Service
- Create a positive impression for every patient, family member, visitor, and staff member.
- Perform pre-registration, registration, routing, and escorting functions.
- Accurately collect demographic, emergency, and insurance information.
- Explain consent forms, Patient Rights, and hospital documentation; obtain signatures professionally and respectfully.
- Perform eligibility verification, insurance validation, and financial clearance processes.
- Conduct courteous and professional telephone interactions to promote excellent customer service.
- Escort patients and visitors and provide physical assistance as needed.
- Perform limited cashiering duties, including payment collection, petty cash reimbursements, and making change.
Systems & Technical Expertise
- Serve as a super user for Cerner Registration and Scheduling, Experian, Varian, Suite Scheduler and other necessary applications.
- Demonstrate advanced knowledge of the EMR, scanning documentation accurately and alerting appropriate staff to errors.
- Learn and maintain proficiency in all current registration desks and future Patient Access functions.
- Utilize Infor for supply ordering for all Patient Access desks.
Training & Quality
- Assists Patient Access Manager / Supervisor with new hire selection, interviews, onboarding, and training.
- Assists with new hire and ongoing staff training.
- Perform registration audits, including auditing new staff, and provide education on errors.
- Assist with registration error communications and staff education.
- Actively participate in performance improvement, Lean initiatives, Rapid Improvement Events (RIEs), and Simplified A3 projects.
- Compliance & Professional Standards
- Conduct all activities in accordance with hospital mission, values, and regulatory requirements.
- Maintain compliance with EMTALA, HIPAA privacy and security, payer requirements, and revenue cycle procedures.
- Maintain a professional atmosphere for patients, families, and staff.
- Proactively address patient concerns and seek solutions without prompting.
Professional Development
- Participate in continuing education (e.g., Certified Healthcare Access Associate – NAHAM, Medical Terminology).
- Maintain industry knowledge and apply best practices to daily operations.
POSITION QUALIFICATIONS
Education / Experience / License and Certifications
- Minimum of High School Diploma or GED, required.
- Minimum of 2 years of related experience, preferred.
- Knowledge of applicable rules, regulations, statutes, policies and procedures, and ability to determine appropriateness of compliance in situations.
