Position Description: Assistant Manager – Multi-Family Communities

M. Shapiro Real Estate Group is a growing, fast-paced property management company seeking a motivated, professional, and customer-focused Assistant Property Manager to join our team.

The ideal candidate is organized, dependable, energetic, and comfortable working in a fast-paced environment. This position plays an important role in supporting the day-to-day operations of our multifamily communities, providing exceptional service to residents and prospective residents, assisting with leasing activities, and supporting property managers with administrative and operational responsibilities.

Job Duties
• Maintain up-to-date knowledge of available apartments, rental rates, lease expirations, community amenities, and surrounding neighborhoods.
• Conduct regular inspections of vacant apartments throughout the turnover process to ensure units meet company standards and are ready for occupancy.
• Market available apartments through company software, online listing platforms, and other approved marketing channels.
• Respond promptly and professionally to telephone, email, and walk-in inquiries from prospective and current residents.
• Schedule and conduct apartment showings while professionally presenting community amenities, apartment features, and leasing options.
• Coordinate lease signings, move-in appointments, rental payments, and new-resident orientations.
• Maintain accurate and organized resident files, leasing documentation, and other required records.
• Provide exceptional customer service by addressing resident concerns, resolving problems, and escalating issues to management when appropriate.
• Monitor and follow up on outstanding balances and delinquencies through scheduled phone calls, letters, and monthly statements.
• Regularly assess the condition and appearance of the property and coordinate the resolution of maintenance, cleaning, and curb-appeal issues.
• Assist with daily office operations, including opening and closing the office, maintaining office organization, and supporting the property management team.
• Handle petty cash, prepare daily bank deposits, and assist with accurate daily, weekly, and monthly reporting.
• Work collaboratively with property managers, maintenance staff, vendors, residents, and prospective residents to ensure efficient community operations.
• Perform additional duties and responsibilities as assigned based on the needs of the business.
• Ensure compliance with applicable federal, state, local, company, client, ownership, lender, insurance, safety, employment, housing, privacy, documentation, or operational requirements related to the position.
• Prepare, review, present, or maintain reports, summaries, recommendations, action plans, calendars, scorecards, budgets, financial information, compliance tracking, or operational updates as assigned.
• Promote a culture of accountability, professionalism, resident service, operational consistency, teamwork, compliance awareness, continuous improvement, and company-wide alignment.
• Adhere to company policies, standard operating procedures, documentation standards, approval processes, communication protocols, purchasing controls, confidentiality expectations, and risk management requirements.
• Communicate with internal and external stakeholders promptly and professionally, providing same-business-day responses whenever possible and no later than 24 hours from receipt unless circumstances require escalation or additional research.
• Perform other duties as assigned to support operational excellence, resident satisfaction, employee performance, asset performance, compliance, ownership objectives, and company goals.

Job Requirements
• Previous property management or multifamily housing experience preferred.
• Section 8 and/or MSHDA experience strongly preferred.
• Strong customer service, sales, and relationship-building skills.
• Excellent verbal and written communication skills.
• Professional, outgoing, and positive personality with the ability to interact comfortably with a diverse range of people.
• Strong attention to detail and excellent organizational skills.
• Ability to prioritize multiple responsibilities and meet deadlines in a fast-paced environment.
• Proficiency with Microsoft Office, including Outlook, Word, and Excel.
• Experience with property management software or leasing platforms is a plus.
• Reliable personal transportation and the ability to travel as needed for job responsibilities.
• Strong problem-solving skills and the ability to exercise sound judgment.
• Ability to work independently while also contributing effectively as part of a team.
• A professional appearance and a strong commitment to providing an exceptional resident experience.
• Strong organization, follow-through, time management, attention to detail, confidentiality, professionalism, judgment, and accountability.
• Excellent written, verbal, interpersonal, presentation, coaching, conflict-resolution, customer service, problem-solving, and executive communication skills as applicable to the role.
• Ability to manage competing priorities, work independently and collaboratively, adapt to changing business needs, maintain professionalism in a fast-paced environment, and travel within the assigned portfolio as business needs require.
• Valid driver’s license, reliable transportation, and ability to travel throughout the assigned portfolio, if applicable.

Reporting Relationship
• Reports directly to Community Manager of the property.
• Works closely with leadership roles, property teams, corporate teams, vendors, clients, ownership representatives, or other stakeholders to support assigned company specific objectives.
