Schedule Description
DUTIES

The Coordinator, International Recruitment, Partnerships & Events supports the TRU World portfolio by coordinating and delivering engagements, events, and activities across transnational partnerships, international recruitment, admissions, and student services. The role also provides key event and coordination support on behalf of the Vice-President, International, working with a broad range of internal and external stakeholders. Responsibilities include organizing visits, delegations, and initiatives that enhance TRU World’s international presence and stakeholder experience.


MAJOR DUTIES & RESPONSIBILITIES

  1. Coordinates all TRU World events and activities, including recruitment events and conferences in accordance with internal policy and procedures ensuring that standards and timelines are met within established guidelines and deadlines.
  2. Coordinates the planning and scheduling of travelers, as well as services for clients and visitors, including registration, accommodation, logistical support and catering.
  3. Coordinates activities to promote events including social media promotion, information questionnaires and institutional profiles, display booths, invitation and guest lists, accepting and recording replies/registrations, approving event itinerary and content, preparation of remarks, pre-event briefings and debriefings.
  4. Supports planning of Familiarization Tours, orientation, on-campus events, bus tours, campus tours and guest scheduling.
  5. Supports the Transnational Education team in planning delegation visits and outgoing missions.
  6. Creates and maintains departmental events calendar and database, enters events information into events software database, and maintains repositories and statistics for past and recurring events/projects, including customer distribution lists.
  7. Supports the planning and coordination of IDays events by collaborating with International Student Advisors, coordinating volunteers, liaising with external and on-campus partners, and promoting event activities.
  8. Assigns and coordinates some of the work of the student ambassadors, co-op students, auxiliary staff and volunteers.
  9. Works with, and communicates with, recruitment agencies, education fair companies and service companies in certain capacities.
  10. Compiles a list of possible TRU representatives from/for specific markets. Identifies, trains and coordinates representatives for events, monitors requirements and travel schedule, and handles difficulties related to events.
  11. Prepares, monitors and analyzes budgetary reports related to events revenue and expense budget.
  12. Provides support and assistance to various TRU World teams in order to meet the needs and requirements of departmental objectives.

QUALIFICATIONS

EDUCATION:

  • Completion of an undergraduate degree, or four years of related post-secondary education in Marketing, Event, Convention or Hospitality Management


EXPERIENCE:

  • Three (3) years related experience including:
    • One (1) year experience in Event and Convention Planning
    • Experience with International student recruitment, preferably in a post-secondary environment
    • Experience in marketing and communications, presenting, Public Relations
    • Experience with social media, video development and teleconferencing
    • Experience in editing, writing communication and promotional materials, updating/inputting information on the web and social media
    • Experience in database and/or electronic data management
    • Experience planning and executing high-visibility events involving dignitaries, government officials, and top university executives


SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Demonstrated advanced ability to use MS-Office (Word, Excel and PowerPoint) applications, electronic data entry, word processing at 45 wpm
  • Proven ability to communicate effectively both orally and in writing for news and marketing publications and to a culturally diverse audience
  • Ability to plan, coordinate, organize and prioritize projects to meet deadlines and competing priorities; attention to detail
  • Ability to deal effectively with staff, students, colleagues and external vendors with courtesy, discretion and tact; ability to deal with difficult situations appropriately
  • Ability to work both independently and as part of a team with accountability and agreed upon results, deadlines and guidelines
  • Hold current BC class 5 driver’s license
  • Second language will be considered an asset


WORKING CONDITIONS

  • Sitting at a desk and computer for long periods of time

  • Regular contact with staff, clients, travelers and students
  • Local and International travel required.
  • Ability to lift weights in excess of 10 kg
The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.
Pay Band
$29.21 - $32.45 ( CUPE Grade 07 (90% - 100%) )
Salary rate
This Position is not subject to a 90% start rate for new Employees.
