About the Role:

The Medical Assistant supports clinical operations by providing administrative assistance to healthcare providers, ensuring efficient patient flow and high-quality patient care. This role plays a critical part in delivering a positive patient experience, maintaining accurate medical records, and supporting providers in a fast-paced healthcare environment.

We are currently seeking position for our day, mid, and overnight shift operations. Overnight shift offers additional shift differential pay.

Essential Duties and Responsibilities

  • Execute high-volume outbound calls to patients, providers, and healthcare facilities to support time-sensitive (“stat”) clinical
  • Coordinate urgent patient care activities, including facilitating provider-to-provider communication and patient scheduling
  • Accurately document all call activity, outcomes, and patient interactions in the electronic health record (EHR) and/or CRM systems in real time
  • Monitor assigned work queues and prioritize tasks based on urgency, turnaround time, and service level expectations
  • Serve as a central coordination point between physicians, clinical teams, and external partners to ensure timely care delivery
  • Monitor and manage task queues, including follow-ups, referrals, and patient communication requests
  • Escalate urgent or unresolved issues to clinical staff or leadership in accordance with established protocols
  • Ensure compliance with HIPAA and organizational policies related to patient privacy and data security
  • Identify and escalate patient concerns or operational issues to appropriate team members
  • Support process improvement initiatives to enhance patient experience and operational efficiency

Qualifications

  • High school diploma or equivalent required
  • Associated degree or coursework in healthcare, business, or related field preferred
  • Minimum of 1–3 years of experience in a healthcare call center, care coordination, patient access, or high-volume customer service environment required
  • Experience working in a fast-paced, metrics-driven environment with productivity and quality expectations required
  • Prior experience supporting telehealth, hospital operations, or physician practices preferred
  • Experience with electronic health record (EHR) systems and/or CRM platforms required
  • Familiarity with medical terminology and healthcare workflows preferred
  • Experience handling outbound call campaigns or time-sensitive (“stat”) workflows preferred

Knowledge, Skills, and Abilities

  • Knowledge of healthcare operations, patient coordination workflows, and basic medical terminology
  • Strong ability to manage high-volume outbound calls while maintaining accuracy and professionalism
  • Ability to prioritize tasks in a fast-paced, time-sensitive environment with competing demands
  • Demonstrated ability to follow structured workflows while exercising sound judgment in urgent situations
  • Strong attention to detail with real-time documentation accuracy in EHR or CRM systems
  • Effective verbal communication skills with the ability to clearly and confidently engage patients, providers, and clinical staff
  • Strong call control skills, including the ability to guide conversations, gather required information efficiently, and keep interactions focused
  • Ability to remain composed under pressure and handle escalations or urgent scenarios with professionalism
  • Proficiency in navigating multiple systems simultaneously (EHR, phone systems, scheduling platforms)
  • Strong organizational and time management skills with the ability to meet productivity and quality metrics
  • Ability to work independently while contributing to a team-based, service-oriented environment
  • High level of accountability and reliability

Physical Requirements

  • Must be able to remain in a stationary position (sitting or standing) for prolonged periods, often up to 75% of the workday.
  • Needs to occasionally move about inside the office to access file cabinets, office machinery, or shared workspaces.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and printer.
  • Must be able to exchange accurate information with clients and co-workers in person, over the phone, and via digital platforms.
  • Occasionally moves or transports office supplies, files, or equipment weighing up to 25 pounds.
  • Occasionally positions self to maintain files in cabinets or access equipment stored in low or high areas.
  • Requires close visual acuity to perform activities such as preparing and analyzing data, transcribing, and viewing a computer monitor for extended periods.
