Position: Staff Accountant

Reports To: Controller

Position Summary:

The Staff Accountant is responsible for assisting in various accounting and financial tasks to ensure the accurate recording of financial transactions and the maintenance of financial records. They work closely with the finance team and other departments to support financial operations and compliance.

Qualifications:

  • Bachelor's Degree in Accounting, Finance, Business Administration, or equivalent
  • 3+ years of relevant experience

Critical Skills/Competencies:

  • Strong understanding of accounting principles and financial regulations
  • Excellent attention to detail and organizational skills
  • Significant knowledge of payroll administration, including state and federal regulations
  • Effective communication and interpersonal skills
  • Strong analytical thinking and problem-solving skills
  • Proficiency in using accounting software and Microsoft Excel

Essential Duties and Responsibilities:

  • Process semi-monthly payroll, which includes verifying that all pay rates, timecards, and benefit elections have been correctly documented and approved
  • Reconcile employee withholding deductions against benefit provider invoices
  • Process funding for FSA and HSA deductions
  • Reconcile PTO accrual balances
  • Record all payroll journal entries
  • Act as primary accounts payable contact and coordinate the establishment of new vendor accounts
  • Monitor and manage accounts payable and accounts receivable, including invoicing, tracking payments, and following up on overdue accounts
  • Facilitate weekly check run
  • Reconcile credit card statements and various payroll balance sheet accounts to ensure accuracy and to identify discrepancies
  • Record all donations and payments and ensure all backup documentation has been provided
  • Provide charitable acknowledgment receipts of donation to all donors
  • Process and record all approved comp, charitable donation and trade ticket requests
  • Assist the Controller in Form 990 preparation
  • Manage annual 401(k) audit process including interfacing with external audit firm
  • Review Form 5500 for accuracy prior to filing
  • Manage annual 1099-MISC and 1099-NEC creating and filing
  • Responsible for payroll HRIS year-end reconciliations including W-2 generation
  • Assist with the maintenance of office equipment and manage office supply inventory and purchasing
  • Responsible for adherence of the document retention policy
  • Supervise the Accounting Assistant
  • Act as a back up to the Controller for various tasks
  • Other duties as assigned
