Site Supervisor (Mental Health Outpatient) (Norfolk)

  • GENERAL SUMMARY
    • The Site Supervisor (Mental Health Outpatient) is responsible for overseeing daily operations and clinical services at an assigned mental health site. This role ensures high-quality, ethical, and compliant care delivery while providing leadership, supervision, and support to clinical and support staff. The Site Supervisor serves as a liaison between staff, leadership, and external stakeholders to promote effective service coordination and positive client outcomes. Reports to department leadership.

  • ESSENTIAL DUTIES AND RESPONSIBILITIES
    • Provides supervision to licensed, unlicensed, and support staff in accordance with state licensing and organizational requirements.
    • Oversees daily site operations to ensure efficient service delivery.
    • Oversees scheduling templates and provider utilization, including building templates, monitoring daily/weekly slot usage, identifying gaps, and coaching staff to ensure full and compliant schedule optimization.
    • Oversee the daily financial workflows such as charge reconciliation, PowerBI financial monitoring, auditing co-pay collection practices, and partnering with billing to resolve discrepancies or denials.
    • Provides operational oversight of EMR and patient access workflows, including EPIC work queues, registration and consent issues, insurance authorization coordination, and resolution of self-pay or out-of-network barriers.
    • Maintains responsibility for site environment and safety, including supply management, PHI and fire-safety compliance, coordination with EVS/Engineering/IT for work orders, and ensuring ongoing survey readiness (DNV/TJC).
    • Reviews work for accuracy, timeliness, and compliance.
    • Monitors staffing levels, productivity, and caseload distribution.
    • Ensures adherence to organizational policies, procedures, and workflows.
    • Addresses operational or client-related issues in a timely manner.
    • Ensures compliance with federal, state, and local regulations (e.g., licensing, accreditation, payer requirements).
    • Participates in audits, site reviews, and organizational and quality improvement initiatives.
    • Maintains accurate records and ensures confidentiality of client information (HIPAA compliance).
    • Serves as primary point of contact for site specific concerns.
    • Collaborates with leadership, referral sources, and community partners.
    • Communicates changes in policy, procedures, or expectations to staff.
    • Leads, manages, coaches, and trains a team or department, provides guidance, support, and mentors to ensure optimal performance and productivity.
    • Oversees the recruitment, hiring, team/department orientation, performance appraisals and disciplinary actions including up to termination processes for a team or department.
    • Performs all other duties as assigned.

  • MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
    • Required Education and Experience
      • High school diploma or GED equivalent.
      • Must provide record of a completed diploma (or equivalent) or academic transcript for those areas performing complexity testing.
    • Preferred Education and Experience
      • College degree in a related field and/or 3- 5 years healthcare/management experience preferred.
    • Required Knowledge, Skills and Abilities
      • Possess excellent leadership, communication, and analytical skills with the ability to plan, supervise, establish and maintain a professional work environment.
      • Ability to identify problems and implement solutions for daily operations.
      • Interpersonal and leadership skills necessary to supervise and delegate tasks to personnel.
      • Technical and professional knowledge unique to the business and/or clinical operations of the designated service area (not limited to patient information, Financial, Human Resource, Information Systems, Risk, Governance, Regulations, Planning and Marketing).
      • Travel to other sites may be required.
  • WORKING CONDITIONS
    • Normal patient care environment with little exposure to excessive noise, dust, temperature and the like. Frequent exposure to communicable disease and moderately adverse working conditions due to performance of certain patient care activities.
