JOB DESCRIPTION
Summary / Objective
The On-Site Community Association Manager serves as the structured operational leader for the assigned community. This role is responsible for consistent execution across governance, financial oversight, vendor accountability, and on-site operations.
You will partner directly with the Board of Directors to guide informed decision-making, maintain community standards, and protect association assets. This position requires a strong on-site presence, ownership mindset, and the ability to deliver predictable, high-quality service aligned with Cadden Community Management standards.
Core Responsibilities
Governance & Advisory Leadership
· Interpret and apply CC&Rs, Bylaws, Rules & Regulations, and Arizona statutes with accuracy
· Serve as the primary liaison to the Board of Directors, ensuring alignment and follow-through
· Prepare and deliver structured Board communication, reports, and recommendations
· Facilitate organized, agenda-driven meetings and ensure timely execution of Board decisions
· Maintain compliance with applicable governing documents and statutory requirements
Operational Execution
· Conduct routine, documented site inspections to maintain community standards
· Identify deficiencies, implement action plans, and track resolution to completion
· Manage covenant enforcement consistently, including violation tracking and closure
· Review and process architectural/design applications within established timelines
· Maintain organized, accurate association records, logs, and operational documentation
Financial Oversight & Budget Execution
- Review monthly financial statements and identify variances
- Monitor operating and reserve balances to support Board decision-making
- Assist in annual budget preparation and ongoing expense management
- Ensure timely and accurate invoice submission and approval
- Maintain budget discipline and identify cost-control opportunities
Vendor & Contract Management
- Maintain full awareness of all association contracts and obligations
- Monitor vendor performance, scope adherence, and service quality
- Manage contract renewals, cancellations, and negotiations professionally
- Coordinate bid solicitation and prepare comparison analyses for Board review
- Ensure all vendor relationships align with service expectations and budget goals
Communication & Service Delivery
- Maintain professional, consistent relationships with Board members and homeowners
- Provide clear, timely written communication to residents
- Ensure all community communications (website, postings, newsletters) remain current
- Deliver predictable service aligned with Cadden’s customer service standards
Project & Administrative Execution
- Coordinate and oversee community projects, ensuring timelines and expectations are met
- Maintain calendars for meetings, deadlines, and community activities
- Prepare reports, presentations, and operational documentation as required
- Stay informed of regulatory changes and communicate updates appropriately
Required Qualifications
- Minimum 2 years of community association or property management experience
- Working knowledge of Arizona HOA statutes and governing documents
- Strong organizational, communication, and problem-solving skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Ability to manage priorities, meet deadlines, and execute consistently
Preferred Qualifications
- Experience managing on-site or large-scale communities
- Budget development and financial analysis experience
- Vendor management and contract negotiation experience
- Bachelor’s degree in Business Administration, Communications, or related field
Preferred Certifications: CAAM® and CMCA®
