About This Position
Executive Assistant and Administrative Support
Executive & Administrative Support
- Provide high-level administrative support to the Medical Director, including calendar management, scheduling, and meeting coordination
- Act as the primary point of contact between the Medical Director and internal teams, physicians, vendors, and external partners
- Manage confidential correspondence, emails, reports, and documents with discretion and professionalism
- Prepare agendas, presentations, and meeting minutes for leadership and clinical meetings
Clinical & Operational Coordination
- Coordinate call schedules, coverage needs, and provider time-off requests
- Template provider, andrology, and IVF Lab schedules
Compliance & Documentation
- Maintain organized records related to policies, procedures and compliance requirements
- Assist with audits, accreditation preparation, and regulatory documentation (e.g., AAAASF, CMS, HIPAA)
- Ensure timely completion and submission of required reports and approvals
Communication & Liaison Duties
- Draft professional communications on behalf of the Medical Director
- Serve as a liaison between clinical staff, administration, and leadership to ensure clear communication
- Handle sensitive issues with diplomacy and sound judgment
Project & Workflow Management
- Support special projects, quality initiatives, and process improvements
- Track progress of initiatives and provide status updates to leadership
- Assist with data collection, reporting, and presentation of metrics
Financial & Administrative Tasks
- Coordinate vendor communications and contracts as assigned
- Support payroll approvals, timekeeping, and scheduling coordination
General Office Support
- Maintain efficient office systems and workflows
- Order supplies and manage administrative resources
- Provide coverage or support to other administrative team members as needed
Skills & Qualifications
- Strong organizational and time-management skills
- Excellent written and verbal communication
- High level of confidentiality and professionalism
- Proficiency in Microsoft Office / Google Workspace and EMR systems
- Ability to prioritize in a fast-paced medical environment
- Experience in healthcare or medical administration preferred
