About This Position
Job Summary:
A Resident Specialist is responsible for leasing apartments and renewing leases while following the Compliance Guidebook. Responsible for consistently providing exceptional customer service to applicants, residents and vendors.
Supervisory Responsibilities:
- None.
Duties/Responsibilities:
Leasing, Lease Renewals, and Recertifications
- Master’s and consistently follows all aspects of the Trinity method of leasing.
- Follows the guest card; Performs “The Perfect Greeting”,
- Demonstrates apartments and community per Trinity standards.
- Maintains comprehensive knowledge of inventory, competition and amenities to effectively lease apartments and asks every prospect to lease today
- Reviews and explains the terms and conditions for occupancy with all new leases
- Enters all prospect contact information in Yardi daily
- Following up with prospects daily and records the interaction in Yardi
- Achieves a minimum shop score of 80 or higher and shows continuing improvement in subsequent shops.
- Processes, complete, and submits to the Compliance Department all new lease applications within three to five working days.
- Processes, completes, and submits to the Compliance Department all recertification files no later than 30 days before the recertification due date.
Compliance
- Ensures accurate information and appropriate documents are provided and meet the current Section 42 Tax Credit guidelines.
- Understands and adheres to the Policies and Procedures Manual, Compliance Manual, Fair Housing Laws, Training Programs, and OSHA and Safety Standards.
- Cooperates with the Compliance Department to achieve and maintain “Perfect Files.”
General
- Assists Property Manager with supervising, motivating, and training the office staff.
- Accurately and timely completes all required reports.
- Meets or exceeds all specified objectives, including, but not limited to, monthly goals set forth by the Property Manager.
- Performs any additional duties assigned.
Required Skills/Abilities:
Communication
- Communicate regularly and effectively with the Property Manager, addressing any needs or concerns regarding the property or staff.
- Maintains continuous communication with the Property Manager regarding the status of all new move-in and recertification files.
- Maintains open, honest, and timely communication with residents regarding their applications, tax credit recertifications, maintenance requests, and property concerns.
- Ensures all commitments with residents are fulfilled and appropriate follow-up communication is provided when necessary.
- Accurately records Maintenance Service Requests in Yardi.
Customer Service
- Maintains open, honest, and timely communication with residents regarding maintenance requests, concerns, and complaints.
- Handles all resident complaints and concerns while maintaining professional and positive composure.
- Ensure all communicated commitments with residents are fulfilled and appropriate follow-up communication is provided when necessary.
Education and Experience:
- High school diploma or equivalent.
- At least two years’ related experience is preferred.
- At least one year customer service experience required
- Communicate in English clearly and concisely – both orally and in writing
Physical and Location Requirements:
- Must be willing and able to occasionally travel, including working at other property locations or overnight trips
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- flexible schedule – must be able to work weekdays, evenings, weekends and some Holidays
- Must have a reliable means of transportation, possess a valid Arizona Drivers license, and a clean driving record with personal auto insurance.
