Camp Associate

THE OPPORTUNITY
The Camp Associate plays a key supporting role on the Program team by assisting in the year-round execution of camp locations. This includes hands-on logistics, communications, volunteer coordination, and planning. The Camp Associate ensures smooth systems are in place to deliver meaningful, well-run camp experiences for grieving children and the volunteers who support them.
This is an ideal role for someone early in their camp or nonprofit career who has a detail-oriented mindset, wants to collaborate with other camp professionals on project based work, and is passionate about youth development and camp culture.
RESPONSIBILITIES
The following is not intended to be an exhaustive list. Other responsibilities and duties may be assigned:
PROGRAM & LOGISTICS SUPPORT
Assist the Camp Manager with day-to-day planning and execution for weeklong camp programs.
Track and assist with the preparation of project timelines, deliverables, and seasonal prep checklists using internal systems (e.g., Campminder, Google Workspace).
Prepare, update, and organize camp-specific documents, schedules, forms, and templates to ensure accuracy and easy access for staff and volunteers.
Support the ordering, inventorying, packing, and shipping of camp supplies, ensuring on-time delivery to multiple locations across the country.
Help maintain camper rosters, staff assignments, transportation records, and other critical documentation for smooth camp operations.
Identify and flag opportunities for process improvement to help camp systems become more efficient and scalable.
VOLUNTEER RECRUITMENT & EXPERIENCE
Partner with the Camp Manager to support the full volunteer lifecycle: recruiting, onboarding, training, and retention.
Coordinate and schedule volunteer interviews; track progress and outcomes using internal systems.
Support preparation and delivery of volunteer onboarding materials, including training guides, pre-camp calls, role descriptions, and camp policies.
Respond to volunteer inquiries and ensure timely, clear, and empathetic communication at every touchpoint.
Support engagement efforts throughout the year, including newsletters, thank-you communications, social media posts, and camper events. Assist with identifying opportunities that match volunteer interest with organizational needs.
Assist in the coordination and communication of the Regional Ambassador Committees (RACs), helping to oversee and track meeting attendance, deliverables, and regional efforts.
PROGRAM COMMUNICATIONS
Serve as a liaison between the HQ Programs Team (camp, community, and clinical), ensuring alignment and consistency in communications and expectations.
Draft and send timely email updates and reminders to staff and volunteers as needed.
Help organize camp planning calendars and ensure that all parties are aware of key deadlines and milestones.
Work with the Senior National Camp Manager and Camp Manager to keep templates, planning documents, and operational resources current and well-organized.
CAMP OPERATIONS
Travel to assigned camp locations to provide in-person support during camp sessions.
Assist with managing camper arrivals and departures, including chaperone coordination and travel logistics.
Provide behind-the-scenes support to ensure camp operations run smoothly and allow the rest of the team to focus on camper and staff experience.
Collaborate with the HQ camp team during the camp week to gather feedback, troubleshoot challenges, and identify opportunities for improvement.
EXPECTATIONS & COMPENSATION
40 hours/week (standard schedule is generally Monday through Friday, 9-5/10-6 ET, depending on location) with flexible hours to account for calls and meetings in the evenings
Primarily remote position with occasional in-person requirements. This role includes periodic travel to the Westport, CT office for team collaboration, as well as in-person participation at certain programs and events. Full on-site availability is required during camp weeks in July and August, along with occasional travel throughout the year for scheduled events and meetings.
Annual base salary range: $60,000 - $65,000, commensurate with experience

QUALIFICATIONS
2–3 years of experience in camp, youth programs, events, or nonprofit work (internships included)
Highly organized with strong attention to detail and follow-through.
Annual base salary range: $55,000 - $65,000, commensurate with experience
Excellent written and verbal communication skills.
Ability to manage multiple tasks and timelines simultaneously.
Willingness to travel and work occasional evenings/weekends (especially during the summer).
