Project Coordinator - UK/EU Operations

Role Overview

The Project Coordinator-UK/EU Operations will be responsible for the day-to-day coordination and management of projects across the company’s UK and European operations.

Working closely with the Senior Project Manager and other company stakeholders, this role will be responsible for maintaining visibility across all active, pending and planned projects and helping to ensure that each project stage is delivered accurately on time and within the agreed budget.

The successful candidate will monitor and document project risks, challenges and dependencies, ensuring that they are escalated, addressed and closed appropriately to protect project and business outcomes.

This role requires a highly organised, proactive and accountable individual who can manage multiple priorities, hold themselves and others accountable and follow through without requiring constant direction.

Key Responsibilities

  • Manage and coordinate all active, pending and upcoming UK/EU projects.
  • Maintain accurate project plans, timelines, trackers, action logs, risk registers and decision logs.
  • Monitor project milestones, deliverables, budgets and dependencies to ensure projects remain on schedule.
  • Coordinate project activities across Operations, IT, Claims, Customer Service and other relevant teams.
  • Work closely with external vendors, business partners, assistance providers, claims administrators and other service providers.
  • Coordinate onboarding, implementation requirements, customer journeys, dependencies and launch readiness across internal and external stakeholders.
  • Proactively follow up on outstanding actions until they are completed and confirmed.
  • Identify delays, risks, gaps and conflicting priorities and escalate them promptly.
  • Organise and participate in project meetings, prepare agendas and issue concise meeting summaries with clear owners and deadlines.
  • Gather, organise and document business, operational and technical requirements.
  • Support testing, implementation, launch readiness and transition into business-as-usual operations.
  • Maintain complete and up-to-date project documentation in the appropriate shared locations.
  • Identify opportunities to improve business and customer outcomes, processes, communication, efficiency and accountability.
  • Ensure completed projects are properly documented, handed over and formally closed.
  • Work independently while collaborating effectively with internal and external stakeholders.
  • Provide the Senior Project Manager with structured portfolio updates twice per week.
  • Immediately escalate any material risk, delay or issue that may affect a project deadline, budget or business commitment.

Required Skills and Experience

  • At least three years of experience in project management, project coordination, operations or a related role, with demonstrable ownership of multiple concurrent projects.
  • Strong organisational, prioritisation and time-management skills.
  • Ability to manage multiple projects and stakeholders simultaneously.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and follow-through.
  • Ability to identify risks, dependencies, gaps and missing information.
  • Confidence communicating with internal teams, senior stakeholders and external partners.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Outlook, Excel, Word, PowerPoint and Teams.
  • Experience with SharePoint or similar collaboration and document-management tools.
  • Professional fluency in English.

Preferred Skills and Experience

  • Experience within insurance and/or ecommerce.
  • Experience within Travel and/or Accident and Health lines would be advantageous.
  • Knowledge of the UK and EU insurance and regulatory landscape would be advantageous.
  • Experience coordinating international teams, vendors or system implementations.
  • Experience working across multiple countries or regional markets.
  • PRINCE2, part-PRINCE2 or an equivalent project management qualification would be advantageous.
