This role is focused on ensuring patients successfully progress through the healthcare system after an initial referral is made, helping remove barriers to timely specialty care. You will actively track referrals, coordinate with specialist offices, and resolve scheduling or administrative delays that may impact patient access to treatment. The position requires strong communication skills, persistence, and a problem-solving mindset in a high-volume coordination environment. You will serve as a key connector between patients, providers, and internal teams to ensure continuity of care and efficient workflow execution. By identifying alternative solutions when barriers arise, you help prevent delays and improve patient outcomes. This is a fast-paced, remote healthcare operations role with meaningful impact on patient journeys.
- Track and monitor the status of patient referrals after submission to ensure timely progression through the care process.
- Contact specialist offices via phone, fax, and secure portals to confirm referral status and appointment availability.
- Follow up on outstanding referrals and scheduling requests while identifying and resolving delays or administrative barriers.
- Troubleshoot referral and scheduling issues by coordinating with external providers and internal teams.
- Identify alternative specialists or care options when original providers are unavailable or unable to accept patients.
- Communicate updates, next steps, and resolution outcomes to patients in a clear and supportive manner.
- Maintain accurate documentation and workflow records while collaborating with coordination teams to ensure operational efficiency.
- Previous experience in customer service, call center, administrative support, medical reception, or healthcare coordination roles.
- Strong verbal communication and phone-based coordination skills with a professional and patient-focused approach.
- Excellent organizational skills with the ability to manage multiple follow-up tasks simultaneously.
- Strong problem-solving abilities and attention to detail in a fast-paced environment.
- Ability to work independently in a remote setting with minimal supervision.
- Comfortable learning and using new systems, tools, and healthcare workflows.
- Experience in medical offices, referral management, or healthcare scheduling is a plus.
- Familiarity with insurance-related scheduling challenges or provider coordination is advantageous.
