JOB TITLE: Tournament Coordinator

REPORTS TO: Head Golf Professional
SALARY: DOE
POSITION STATUS: Full-time
HOURS PER WEEK: 40
Essential Functions:
Essential functions may include the following tasks, knowledge, skills, and other characteristics. Carry out responsibilities as directed, to include the authority and responsibility of overseeing the golf facility and reporting to the Head Golf Professional and General Manager.
Duties and Responsibilities:
- Provides exceptional guest service to both external and internal guests by maintaining and exhibiting the We-Ko-Pa Way Service Standards: Smile and Greet, name and Meet, Thank You and Goodbye.
- Maintain contact with all departments regarding group outings and events.
- Confirm and implement the proper booking and administrative procedures for each group, including the issuance of accurate and detailed contracts, collect and file signed contracts and all required deposits, advise clients of cancellation policy and follow outlined billing procedures.
- Implement and maintain an organized filling system for group/tournament contracts that is accessible and comprehendible to all members of We-Ko-Pa management.
- Maintain communication with the group contact and encourage incremental sales through the golf shop and the We-Ko-Pa Grille. Follow through with Merchandise Manager to receive special orders for events.
- Keep lines of communication open with the group contact to keep current on approximate number of players, special events, number of rental clubs needed, format, scoring, scoreboard, etc. Maintain updated tee time space for contracted group.
- Inform all staff of scheduled events. Direct and supervise the execution of the entire event. Complete a recap to summarize the event and handle any issues.
- Utilize Event-Man tournament software to the maximum benefit. Produce creative and visually appealing scoreboards, scorecards, welcome letters, cart signs & poster boards.
- Develop and foster all marketing partner relationships. Includes: maintaining current and future Net Rate Agreements, oral and written communications.
- Enforce all rules and regulations governing golf course usage
- Assist with Golf Shop inventories.
- Assist with administration of reports and other data.
Additional Duties and Qualifications:
- High School Degree or equivalent.
- Associate’s Degree or relevant certification preferred.
- Confirm and handle proper billing procedures of each group. Maintain updated tee time space for proper use.
- Currently enrolled in the PGA Program.
- Must have an ability to work well with the public, other staff members and departments.

Supervisory Responsibilities:
Will assist with the supervision of the outside golf staff. Total number of staff to supervise – approximately 25.
