We are seeking a proactive, highly organized Legal Administrative Assistant (LAA) to provide comprehensive support to litigation attorneys in our New Orleans office. This role is ideal for a detail-oriented professional who thrives in a fast-paced environment, is comfortable managing competing priorities, and enjoys working collaboratively with legal teams to deliver exceptional client service. The successful candidate will support a busy and varied litigation practice and must be able to work independently while anticipating attorney and client needs.

Essential Job Duties

  • Open, close, and maintain client files, ensuring organization and compliance with firm procedures.
  • Create, edit, revise, and proofread pleadings, motions, discovery, correspondence, reports, and other legal documents.
  • Prepare and file documents in state and federal courts using electronic filing systems.
  • Maintain attorney calendars, schedule meetings, depositions, hearings, mediations, and travel arrangements.
  • Coordinate trial, hearing, mediation, and deposition logistics.
  • Track deadlines and assist attorneys with docket and case management requirements.
  • Maintain attorney time records and support billing and e-billing activities, including invoice preparation and follow-up.
  • Answer and direct telephone calls, take messages, and communicate professionally with clients, courts, opposing counsel, and vendors.
  • Open, review, and distribute incoming mail and electronic communications.
  • Prepare expense reports, reimbursements, and client-related administrative materials.
  • Assist with conflict checks, engagement letters, matter opening documentation, and file maintenance.
  • Organize and manage large volumes of electronic documents and correspondence.
  • Coordinate with attorneys, paralegals, and administrative professionals to ensure timely completion of assignments.
  • Support document productions, trial preparation, exhibit management, and other litigation support activities.
  • Handle confidential information with discretion and professionalism.
  • Perform other duties as assigned.
Requirements:
  • High school diploma or equivalent required; Bachelor’s degree preferred.
  • Five or more years of legal administrative experience, preferably in litigation.
  • Strong knowledge of state and federal court filing procedures.
  • Advanced proficiency in Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
  • Exceptional organizational, proofreading, and communication skills.
  • Ability to prioritize multiple assignments and meet deadlines in a fast-paced environment.
  • Strong attention to detail and commitment to client service.
  • Experience supporting multiple attorneys and managing a high-volume workload.
