East Arkansas Family Health Center is seeking a friendly, professional, and detail-oriented Front Desk Representative to join our healthcare team at our Osceola, Arkansas location. This position serves as the first point of contact for patients and visitors and plays an important role in ensuring a welcoming, organized, and efficient patient experience.
The ideal candidate will have previous experience working in a medical office or healthcare setting, particularly with insurance verification, patient registration, appointment scheduling, and customer service. Greet patients and visitors in a friendly, professional, and courteous manner.
Verify patient insurance eligibility and benefits prior to appointments and at the time of service.
Confirm active insurance coverage, effective dates, copayments, deductibles, and other applicable benefit information.
Identify and address insurance discrepancies, including inactive coverage, incorrect insurance information, or eligibility concerns.
Accurately enter and update patient insurance information in the practice management system.
Verify and update patient demographic information, including name, address, telephone number, email address, emergency contact, and employment status.
Ensure patient registration information and required documentation are accurate and complete.
Provide patients with appropriate registration forms and ensure all paperwork is current and properly completed.
Maintain patient confidentiality and comply with HIPAA regulations.
Welcome and direct patients and visitors to the appropriate departments and service areas.
Answer incoming telephone calls professionally using the established EAFHC greeting and direct calls to the appropriate staff or department.
Schedule, reschedule, confirm, and cancel patient appointments.
Accurately document the reason for patient visits and update appointment statuses in the practice management system.
Maintain patient sign-in records and ensure patients are properly checked in for appointments.
Identify and document patient no-shows in the practice management system.
Notify the Medical Records Department when patients request or arrive to pick up medical records.
Maintain the visitor log, issue visitor badges, and retrieve badges at the conclusion of visits.
Provide accurate information regarding health center services, office procedures, and appointment requirements.
Assist with managing patient flow to support efficient daily operations.
Maintain a professional, positive, and welcoming attitude when interacting with patients, visitors, and coworkers.
Demonstrate strong organizational skills and the ability to multitask effectively in a fast-paced healthcare environment.
Assist with training new employees on front desk procedures and responsibilities.
Log into the telephone system and assist with incoming calls as needed.
Provide front desk coverage at other EAFHC locations or patient service areas when necessary.
Participate in continuous quality improvement activities and organizational training.
Notify supervisors of unusual occurrences, patient complaints, or operational concerns.
Follow established organizational policies, safety procedures, infection control guidelines, and regulatory requirements.
Maintain a neat and professional appearance.
Perform other duties as assigned.
High school diploma or equivalent required.
Previous experience verifying medical insurance eligibility and benefits required.
Experience with patient registration, appointment scheduling, or front desk operations in a healthcare setting preferred.
Ability to interact professionally and courteously with patients, visitors, and staff.
Ability to effectively multitask in a fast-paced environment.
Strong communication, organizational, and customer service skills.
Ability to accurately enter and maintain patient information.
Knowledge of community agencies and human services resources.
Legible handwriting.
Neat and professional appearance.
