AI Specialist & Office Manager

Company: J&J Brothers, LLC
Location: Meriden, Connecticut
Position: Full-Time | In-Office

Schedule: M-F 8AM-4:30PM

Position Overview

J&J Brothers, LLC is seeking a highly motivated, tech-savvy AI Specialist & Office Manager to help modernize our business operations, improve efficiency, and implement artificial intelligence (AI) solutions across our organization.

The ideal candidate will have a strong understanding of AI technology, business automation, office management, and administrative operations. We are looking for someone who can identify opportunities to streamline workflows, eliminate repetitive tasks, and introduce innovative technology to improve productivity.

This position combines traditional office management responsibilities with a strong emphasis on AI integration, automation, and operational improvements.

Key Responsibilities

Responsibilities include but are not limited to:

Artificial Intelligence & Automation

  • Research, evaluate, and implement AI tools to improve business operations.
  • Develop automated workflows for administrative tasks, reporting, scheduling, and document management.
  • Integrate AI solutions into existing business software and processes.
  • Identify opportunities to reduce manual work and improve employee productivity.
  • Utilize tools such as ChatGPT, Microsoft Copilot, Power Automate, and other AI platforms.
  • Develop AI-assisted reporting, dashboards, and data analysis tools.
  • Train employees on AI tools and best practices.
  • Work with management to develop and execute a company-wide AI implementation strategy.
  • Office Management & Administration

  • Oversee daily office operations and administrative functions.
  • Coordinate communication between management, employees, vendors, and customers.
  • Manage office procedures, records, and digital filing systems.
  • Assist with project tracking, scheduling, and operational reporting.
  • Support accounting, payroll, human resources, and project management teams.
  • Improve internal communication and workflow efficiency.
  • Maintain organized and efficient office systems.
  • Business Process Improvement

  • Evaluate existing business processes and recommend improvements.
  • Develop standardized operating procedures (SOPs).
  • Implement digital solutions for document processing, invoicing, reporting, and project tracking.
  • Assist management with operational analysis and strategic initiatives.
  • Track and measure the effectiveness of newly implemented technology.
  • Identify opportunities for cost savings through automation.

  • Qualifications

  • Experience with AI applications, business automation, or technology implementation.
  • Strong organizational, communication, and problem-solving skills.
  • Proficiency in Microsoft Office, particularly Excel, Outlook, and Microsoft 365.
  • Familiarity with ChatGPT, Microsoft Copilot, Power Automate, Zapier, or similar platforms.
  • Experience in office administration, operations, or project coordination.
  • Ability to independently research, recommend, and implement new technologies.
  • Strong analytical skills and attention to detail.
  • Ability to handle confidential business information professionally.
  • Experience in construction, contracting, property management, or related industries is a plus.
  • Preferred Qualifications

  • Experience building AI-powered workflows and business automations.
  • Knowledge of QuickBooks, accounting software, or ERP systems.
  • Familiarity with AI integrations, APIs, and database management.
  • Experience creating automated reports and management dashboards.
  • Previous experience managing administrative teams or office operations.
