The Loan Officer Assistant (LOA) is a key member of the Boxcar Mortgage team, responsible for supporting Loan Officers and management in providing exceptional client experience from application through closing.

We are seeking a highly organized, detail-oriented team player who’s reliable, accountable, a self-starter who works well under pressure, and a quick study. This candidate will be an experienced mortgage industry professional, with current knowledge of mortgage products, programs, LOS systems, required documentation and understand the flow of a mortgage loan file

We believe the Loan Transaction Coordinator role is an integral part of our success and has a significant influence on the quality of a client's experience during the loan process. This is a full-time position with a bonus structure and comprehensive benefits package. **Experience in similar position required and must be currently or recently in the mortgage industry.*

THE PLAN
Everyone has a part to play

  • Communicate directly with clients to collect and organize all necessary documentation for loan approval.
  • Input accurate borrower and loan data into the company’s loan origination system (LOS).
  • Order and review credit reports; verify income, assets, employment, and liabilities.
  • Review financial documentation and assist in qualifying clients for loan programs including Conventional, FHA, VA, USDA, and Non-QM loans.
  • Calculate income and evaluate borrower eligibility based on program guidelines.
  • Maintain consistent communication with clients, Realtors, title companies, and all related parties to provide timely updates and ensure transparency throughout the loan process.
  • Collaborate with LOAs, processing, underwriting, and closing teams to ensure files move smoothly through all stages of approval.
  • Assist in gathering and submitting final documentation to ensure loans are cleared for closing in a timely manner.
  • Assist in gathering post-closing conditions as needed.
  • Communicate with the scenario desk as required to ensure accurate loan structuring and guideline interpretation.
  • Ensure all files meet investor, agency, and compliance requirements before submission to opener, processing, or underwriting.
  • Utilize the company’s CRM and internal spreadsheets to track progress, write detailed notes, and maintain up-to-date statuses on all active files.

ROLE EXPECTATIONS

What we’re looking for

  • Minimum of 3+ years of residential lending experience is required
  • Mortgage banking experience a plus
  • Deliver clear, proactive, and professional communication verbally and written to clients and business partners.
  • Demonstrate accuracy, confidentiality, and attention to detail in all file management activities.
  • Maintain dependable attendance, punctuality, and reliability — consistently showing up prepared, meeting commitments, and completing assigned tasks on time.
  • Timeliness and reliability in attendance and in all assigned responsibilities.
  • Manage multiple active loan files while meeting deadlines and maintaining high service standards.
  • Must have a ‘can do-will do’ attitude and team spirit
  • Represent Boxcar Mortgage with professionalism, integrity, and a client-first mindset.
  • Exhibit flexibility, accountability, and initiative in supporting company goals and assisting with other branch functions as needed
