About the Role:

The Office Administrator plays a pivotal role in ensuring the smooth and efficient operation of daily office activities. This position is responsible for managing administrative tasks that support the organization's financial services, including coordinating communication, maintaining records, and facilitating workflow between departments. The role demands a high level of organization and attention to detail to handle sensitive financial information accurately and confidentially. The Office Administrator acts as a key liaison between clients, staff, and management, contributing to a professional and productive office environment. Minimum Qualifications:

  • High school diploma or equivalent; Associate’s degree or higher preferred.
  • Proven experience in office administration, preferably within the finance or insurance industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic knowledge of office management software.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent written and verbal communication skills.

Preferred Qualifications:

  • Bachelor’s degree in Business Administration, Finance, or related field.
  • Experience with financial software systems such as QuickBooks, SAP, or similar platforms.
  • Knowledge of regulatory requirements and compliance standards in the finance and insurance sectors.
  • Familiarity with data entry and document management systems.
  • Certification in office administration or project management (e.g., CAP, PMP) is a plus.

Responsibilities:

  • Manage daily office operations including scheduling, correspondence, and supply inventory to ensure an organized work environment.
  • Maintain and update financial and client records with accuracy and confidentiality in compliance with industry regulations.
  • Coordinate communication between internal teams and external clients to facilitate timely information flow and issue resolution.
  • Assist in preparing reports, presentations, and documentation required for financial audits and regulatory compliance.
  • Support human resources functions such as onboarding new employees, maintaining personnel files, and coordinating training sessions.
