Position Summary
The Clerical Assistant (Part-Time Summer) provides clerical support to the Patient Services Department of Palms Medical Group (PMG). This temporary position assists with filing, scanning, indexing, data entry, and other record-management tasks to support accurate and timely maintenance of patient records. The role requires strong typing skills, attention to detail, dependability, and strict adherence to patient privacy, confidentiality, and HIPAA requirements.
Requirements:Description of Primary Responsibilities
Responsible for clerical support duties within the Medical Records department:
1) Perform clerical support duties for the Medical Records department during the summer assignment.
2) Accurately type, enter, and update information in medical records systems and related logs.
3) Scan, index, file, sort, and organize patient records and related documents.
4) Review documents for completeness, accuracy, and proper placement in the correct patient record.
5) Maintain confidentiality of all patient, employee, and organizational information.
6) Comply with all privacy, confidentiality, and HIPAA laws, policies, and procedures.
7) Use computers, scanners, copiers, and other office equipment safely and effectively.
8) Communicate professionally with supervisors and team members regarding task status and questions.
9) Perform other related clerical duties as assigned in support of Medical Records operations.

7) Must demonstrate good judgment and consistent adherence to privacy and HIPAA requirements.
Professional & Technical Knowledge:
1) Strong typing, filing, and general clerical skills
2) Working knowledge of Microsoft Word, Outlook, and basic computer systems
3) Ability to scan, organize, and maintain records with a high degree of accuracy
4) Ability to maintain confidentiality and handle sensitive information appropriately
5) Previous clerical or office experience is helpful but not required
6) High school diploma, GED, or current student status appropriate for a summer position
Licenses & Certifications:
HIPAA/privacy training must be completed as required by organizational policy.
Physical/Mental/Emotional Demands:
- Sitting for extended periods of time
- Viewing a computer monitor for extended periods of time
- Typing and using standard office equipment such as computers, scanners, telephones, and copiers
- Occasional standing, walking, bending, and reaching
- Lifting, moving, or carrying files and office materials within normal office limits
- Reading and reviewing forms, records, and other documents carefully for accuracy
- Maintaining focus and attention to detail while performing repetitive clerical tasks
- Working in an office environment with exposure to confidential information that must be safeguarded at all times
