Job Description

Surgical Scheduler

Note: The compensation range noted above represents the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range.

Holyoke Medical Center is an independent community hospital that has served the healthcare needs of the Pioneer Valley for over 125 years. Our Gastroenterology Office is seeking an experienced Surgical Scheduler to coordinate and carry out all surgical scheduling functions and to support the office assistants by providing customer service and performing general administrative tasks as needed.

Overview of responsibilities include but are not limited to:

  • Coordinate and manage surgical scheduling, ensuring accurate patient demographics, procedure bookings, and timely communication of schedule changes.
  • Obtain insurance prior authorizations, referrals, and approvals required for surgeries, procedures, testing, and pre-operative care.
  • Collaborate with surgeons, operating room staff, primary care providers, and other departments to ensure efficient patient care and resource availability.
  • Prepare, distribute, and maintain surgical documentation, including admission forms, consent forms, History & Physical reports, and pre-operative records.
  • Educate patients on surgical procedures, testing requirements, pre-operative instructions, and follow-up care.
  • Schedule diagnostic testing, laboratory work, cardiac evaluations, procedures, and post-operative or follow-up appointments.
  • Provide patient check-in and check-out support, including appointment scheduling, recall management, and registration assistance as needed.
  • Accurately enter outpatient orders, maintain electronic scheduling systems, scan patient records, and manage medical documentation.
  • Deliver excellent customer service by answering phones, responding to patient inquiries, managing voicemail messages, and directing calls appropriately.
  • Support daily office operations by maintaining supplies and equipment, assisting with staff training, attending meetings, and communicating operational needs to supervisors
Qualifications:

Education: High School Diploma, GED or Equivalent

Licenses/Registrations: Certification as a Clinical Medical Assistant preferred

Experience: Two years of experience in a physician's office or similar environment; experience in Spanish/English medical/health interpreting preferred; experience working with third party payers and working knowledge of ICD-10 and HCPC coding relative to surgery preferred

Special Aptitudes & Activities: Excellent communication and interpersonal skills; typing, transcription and filing skills; ability to accurately follow verbal and written instructions; normal corrected hearing and vision; organization skills; attention to detail; computer skills; ability to handle multiple tasks; knowledge of medical terminology
