Position Summary

As a Patient Services Representative Supervisor, you serve as a working lead responsible for performing all core Patient Services Representative (PSR) duties while providing administrative and operational oversight of the PSR team. This role bridges the gap between frontline patient services and practice management by combining hands-on patient interaction with team leadership responsibilities, including staff scheduling, timecard management, workflow coordination, onboarding and training facilitation, and regular performance feedback. The Lead PSR ensures consistency in service delivery, supports the development of the PSR team, and serves as a point of escalation for patient concerns. Strong communication, organizational, and leadership skills are essential for success in this role.

Essential Functions of the RolePatient Services (Core PSR Duties)
  • Create a welcoming and professional first impression for all patients and visitors.
  • Complete and audit patient intake forms, including demographics, medical history, insurance verification, and referral information.
  • Accurately enter and update patient data in the electronic medical record (EMR).
  • Collect time-of-service payments and reconcile daily transactions in accordance with office procedures.
  • Schedule, confirm, and reschedule patient appointments, follow-up testing, and provider referrals via telephone and in person.
  • Manage a high volume of inbound and outbound calls while maintaining accuracy and professionalism.
  • Support provider scheduling and patient coordination by monitoring in-baskets, queues, and follow-up tasks.
  • Compile and maintain patient records, reports, and correspondence as needed.
  • Collaborate with providers, clinical teams, and other office staff to ensure continuity of care and excellent patient service.
  • Maintain confidentiality and adhere to HIPAA and organizational standards.
  • Administrative and Team Oversight
  • Manage the PSR team schedule, including shift assignments, coverage planning, time-off requests, and adjustments to ensure adequate front-office staffing at all times.
  • Review and approve PSR timecards for accuracy and completeness, ensuring timely submission in accordance with payroll deadlines and organizational policy.
  • Monitor and coordinate daily front-office workflows, identifying bottlenecks or inefficiencies and implementing solutions to optimize patient flow and team productivity.
  • Serve as the primary point of escalation for patient concerns, complaints, or service recovery situations, resolving issues promptly and professionally or escalating to management as appropriate.
  • Communication and Team Development
  • Facilitate regular PSR team meetings to communicate updates, reinforce expectations, share best practices, and address operational concerns.
  • Conduct routine one-on-one check-ins with PSR staff to provide regular, high-level feedback on performance, address questions or concerns, and support professional development.
  • Facilitate onboarding for new PSR team members, including orientation to front-office procedures, EMR workflows, scheduling protocols, and organizational standards.
  • Coordinate and support ongoing training for the PSR team to maintain consistency in processes, compliance requirements, and service standards.
  • Communicate policy and procedure updates to PSR staff and ensure team-wide understanding and adherence.
  • Minimum Qualifications
  • 3-5 years of experience in a medical office, admissions, or scheduling role.
  • Experience with EMR systems, including EPIC, and Microsoft Office Suite.
  • Strong communication, organization, multitasking, and interpersonal skills.
  • Demonstrated ability to lead, mentor, or coordinate the work of others in a team setting.
  • Ability to manage competing priorities in a fast-paced environment and provide excellent customer service.
  • Ability to travel between practice sites as needed.
  • High school diploma or equivalent required; additional education in healthcare administration is a plus.
  • Excellent attention to detail and ability to manage confidential patient information.
  • Strong manual dexterity and proficiency in operating office equipment including fax machines.
  • Desired Qualifications
  • 5+ years of experience in a clinical or specialty practice environment.
  • Prior experience in a lead, supervisory, or team coordination role within a healthcare setting.
  • Familiarity with cardiology or diagnostic scheduling.
  • Experience managing high-volume phone systems and patient coordination.
  • Knowledge of QGenda, Amion, or similar scheduling tools.
  • Experience with timecard review, staff scheduling, or workforce management processes.
  • Work Environment

    This is a non-clinical role, and duties will be performed in a medical office setting, Monday through Friday, during business hours.

    Physical Requirements

    This position requires a full range of body motion. While performing the duties of this job, the employee is regularly required to sit, walk, and stand; talk or hear, both in person and by telephone; use hands repetitively to handle or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.
