Job Description
The Float Medical Assistant / Admissions Coordinator provides both clinical and front-office support across multiple practice locations. This hybrid role is responsible for delivering an exceptional patient experience from arrival through treatment by performing patient intake, coordinating admissions, assisting providers with clinical care, and maintaining accurate medical records. This position requires flexibility to travel between offices and adapt to varying clinic workflows.
Essential Functions of the Role
Patient Experience & Front Office Support
- Creates a positive first impression and ensures a welcoming experience for all patients.
- Greet patients, check them in, and shepherds them through the visit process.
- Completes and audits new admission paperwork including demographic, insurance, and medical history information.
- Accurately enters and updates patient data in EMR systems.
- Collects time-of-service payments using EMR and other systems.
- Coordinates follow-up appointments and assists with scheduling needs.
- Answers phones and performs general clerical and administrative tasks.
Clinical Support
- Prepares patients for healthcare visits by escorting them to exam rooms, assisting with positioning, and preparing equipment and supplies.
- Verifies patient information, records medical history, and takes vital signs.
- Assists healthcare providers during examinations and treatments.
- Performs clinical tasks such as electrocardiograms, heart monitor placement, and minor in-office procedures (e.g., wound care, dressing changes as applicable)
- Supports patient care by facilitating prescription refills and communicating with pharmacies as directed.
- Educates patients on medications, procedures, and care instructions.
Documentation & Compliance
- Completes and maintains accurate patient records in EMR systems, including accessing external hospital records as needed.
- Maintains patient confidentiality in compliance with HIPAA regulations.
- Ensures adherence to organizational policies, procedures, and regulatory standards (including JCAHO where applicable).
Care Coordination & Team Support
- Collaborates with clinical and administrative teams to ensure seamless patient care and workflow.
- Actively supports interdepartmental coordination to enhance the patient experience.
- Adapts to varying responsibilities and clinic needs across multiple locations.
Minimum Qualifications
- 1–2 years of clinical or healthcare administrative experience (medical assisting, admissions, or similar role).
- Proficiency in Microsoft Office (Word, Excel, Teams).
- Experience with EMR systems.
- Ability and willingness to travel between local practice locations as needed.
Preferred Qualifications
- Medical Assistant certification (CMA) or formal MA education.
- Experience in cardiology, vascular, or cardiac healthcare.
- BLS certification (or ability to obtain within 30 days of hire).
- 2+ years of experience in a clinical practice setting.
- Familiarity with ADP Workforce Now or similar systems.
Physical Requirement
- Requires full range of body motion including sitting, standing, and walking for extended periods.
- Frequent use of hands for operating office and clinical equipment.
Ability to lift up to 25–50 pounds. - Must be able to communicate effectively in person and by phone.
Work Environment
- Work is performed across multiple medical clinic and office settings.
Exposure to clinical environments, including potential contact with blood, bodily fluids, and infectious pathogens - Must use appropriate personal protective equipment (PPE) as required.
